Vontive is a venture-backed fintech lender transforming one of the largest and most outdated markets in financial services. We’re looking for a Business Operations Associate who will serve as the backbone of our company—owning the infrastructure, processes, and support systems that allow every other team to operate at full velocity. From Engineering to Capital Markets, Sales to Fulfillment, your work will directly impact every function at Vontive. This isn’t a support role—it’s a command center. If you’re a systems thinker with extreme ownership and the grit to solve problems before they arise, this is your seat at the table.

You are the kind of person who:

  • Hates inefficiency and can’t walk past a broken process without fixing it.
  • Keeps 10 spinning plates in the air and still remembers to reorder printer toner.
  • Doesn’t ask “Is this my job?”—you ask “How can I help?”
  • Can schedule a CEO’s travel while onboarding a new hire and tracking SaaS renewals—without breaking a sweat.
  • Doesn’t need hand-holding, reminders, or micromanagement. You own your work like it’s your business.

Job Responsibilities

This is not a traditional admin job. You will touch almost every part of the business, and your fingerprints will be all over our growth and operations. Here’s a snapshot:

This Role Will Challenge You If:

  • You need constant direction.
  • You expect rigid job descriptions.
  • You want a job with zero ambiguity or multitasking.
  • You don’t love jumping between HR, IT, compliance, and logistics all in one morning.
IT & Hardware
  • Own the full lifecycle of employee computers via Apple Business Manager and Kandji MDM.
  • Troubleshoot device issues, manage upgrades, wipe/recycle old machines.
  • Coordinate with IT support for triage and emergencies.
HR & People Ops
  • Lead onboarding, offboarding, benefits questions, and leave management.
  • Be the in-house expert for medical/disability/FMLA policies.
  • Post roles, coordinate interviews, and maintain employee records.
Admin & SaaS Management
  • Be the gatekeeper for logins, groups, and permissions across 20+ SaaS tools.
  • Track all software spend and ensure licenses match usage.
  • Review and approve employee expenses.
Office Management
  • Keep the Seattle office functional and stocked.
  • Manage leases, vendors, fire safety, and incoming mail.
  • Liaise with building managers and handle office moves if occurring 
Executive & Team Support
  • Support senior leadership with calendar coordination and travel bookings.
  • Field calls from the company line and route messages accordingly. 
  • Handle special projects (compliance, document audits, conference logistics).
Compliance & Licensing
  • Support mortgage licensing, MLO registrations, and NMLS filings.
  • Manage annual insurance applications, renewals, and ongoing broker communication.

What You Need to Succeed

  • 3+ years of experience in operations, executive assistance, office management, or HR coordination.
  • Deep familiarity with admin tools (Google Workspace, Kandji, Expensify, Breezy, etc.).
  • A relentless work ethic and the maturity to handle sensitive employee, legal, and compliance issues.
  • Very diligent organizational skills. 
  • Clear communicator. Able to say “I don’t know” and go find the answer.
