General Manager - Records Retrieval (Remote)

Full-Time, Remote / Salary, Exempt / Includes Benefits, PTO, Flexible Schedule, Equity

Steno is growing! We’re looking for a General Manager of Records Retrieval to join our winning team, and to lead the growth and operations of a critical business unit. We’re a diverse team from all over the country (and beyond), we’re constantly redefining the boundaries of an outdated industry, and we’re excited to build something new that we know our clients will love.

Who are you?

We’re looking for a leader and records retrieval expert, able to design and iterate workflows, set standards for our newest line of business, build a team from the ground up, and own the business strategy, P&L, and operational execution for this function. As the function grows, this role requires someone willing and able to do the work, but also someone with a vision for growth and success.

This role requires deep experience with records retrieval and a mix of operational leadership, process optimization, vendor and client relationship management, and experience with individual and team development. The ideal candidate has strong knowledge of medical records retrieval processes and technology, client expectations and problem points, HIPAA compliance, and experience leading teams in a high-volume, high-stakes, service-oriented environment.

On a regular basis you will

  • Build the framework for a best-in-class medical records retrieval function, from day one processes to long-term scalability.
  • Recruit, mentor, and grow a team, setting a culture of accountability, innovation, and service excellence.
  • Ensure efficient, accurate, timely, and compliant records retrieval across a high-volume, high-stakes, multi-stakeholder environment.
  • Cultivate strong relationships with medical records providers, vendors, and clients to streamline retrieval and unlock efficiencies.
  • Define KPIs, monitor performance, and implement data-driven process improvements to reduce turnaround times and improve accuracy.
  • Collaborate with technology, product, and legal teams to integrate automations, enhance compliance, and deliver a seamless client experience.
  • Keep Steno at the forefront of litigation services by monitoring trends, regulations, and emerging technologies.

You’re gonna crush it if

  • You have 5+ years of progressive leadership experience in medical records retrieval
  • You have deep knowledge of the records retrieval industry, HIPAA regulations, modern technology used to analyze medical records, and compliance regulations.
  • You have a proven ability to hire, scale up, and manage large teams in a fast-paced environment.
  • You have strong analytical skills with experience in KPI tracking and process optimization.
  • You have excellent communication and relationship management skills.
  • You are tech-savvy with experience in EMR/EHR systems, medical record retrieval platforms, or workflow automation tools.

Compensation & Benefits

  • Salary - $180k-$300k, based on experience.
  • Health, Vision, & Dental Benefits - low-cost health plans that free up mind space and unlock our employees' best work
  • Wellness/Mental Health - shared benefits to be used among employees and families
  • Flexible Paid Time Off - allowing employees to find balance in their lives
  • Options of Equity - we know our success is nothing without our team
  • Access to a company-provided 401(k) account

Our Team

You’ll be joining as the very first member of our Records Retrieval team — with the exciting opportunity to help build it from the ground up. This means not only owning the day-to-day process of records retrieval, but also shaping the systems, workflows, and best practices that will set the foundation for a scalable, high-performing team.

What you need to know about the Seattle Tech Scene

Home to tech titans like Microsoft and Amazon, Seattle punches far above its weight in innovation. But its surrounding mountains, sprinkled with world-famous hiking trails and climbing routes, make the city a destination for outdoorsy types as well. Established as a logging town before shifting to shipbuilding and logistics, the Emerald City is now known for its contributions to aerospace, software, biotech and cloud computing. And its status as a thriving tech ecosystem is attracting out-of-town companies looking to establish new tech and engineering hubs.

Key Facts About Seattle Tech

  • Number of Tech Workers: 287,000; 13% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Amazon, Microsoft, Meta, Google
  • Key Industries: Artificial intelligence, cloud computing, software, biotechnology, game development
  • Funding Landscape: $3.1 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Madrona, Fuse, Tola, Maveron
  • Research Centers and Universities: University of Washington, Seattle University, Seattle Pacific University, Allen Institute for Brain Science, Bill & Melinda Gates Foundation, Seattle Children’s Research Institute
