About the role:

OfferUp is seeking an HR Operations Specialist who is passionate about simplifying and scaling HR Operations effort. In this role, you will work closely with the rest of the HR Operations team to drive excellence across OfferUp’s HR initiatives specifically focusing on benefits, time-off programs, and immigration. With your strong knowledge of local, state, and federal requirements, you’ll be a point of contact for compliance related efforts. 

Here’s more of what you will get to do:

Benefits: 

  • Partner with the HR Operations Lead to manage the annual benefit renewal and open enrollment process (reviewing the results of an annual benefits survey, preparing communications, and owning the open enrollment process in ADP) 
  • Manage day-to-day vendor relationships (medical, dental, vision, life insurance, workers compensation, COBRA, disability, 401k, leave program, etc.) and benefits broker relationships, including reviewing weekly benefit usage for our self-funded medical plan
  • Recommend updated language to internal systems and tools as needed and partner with HR Operations Lead to communicate changes to employees in an engaging way
  • Update systems with employee benefit enrollments and support Payroll by conducting regular payroll checks on all benefits-related deductions. 
  • Partner with our Payroll team on our yearly 401k audit (pull reports from the vendor website, communicate efficiently with the audit team, and action any discovered errors)

Time Off & Leave of Absences:

  • Manage and track all leaves of absence (FMLA-equivalent, PFML, short-term & long-term disability, reasonable accommodation requests, workers compensation claims, etc.) including administration and continued improvements to OfferUp’s WA State Voluntary Leave plan
  • Provider quarterly reporting to managers regarding their team’s time-off usage and provide suggestions and strategies for identifying potential issues before they arise
  • Proactively reach out to employees whose time-off history may indicate a medical or family leave 

Operations & Compliance: 

  • Assist with the day-to-day operations of the HR Operations team acting as the point of contact for benefit, leave, and immigration requests (ensure that inquiries not related to HR reach the right person)
  • Maintain HRIS data quality and partnering with other HR team members to ensure accuracy of employee data. Enter employee data into HRIS and provide necessary reports to Payroll for bi-weekly and semi-monthly payroll processing such as: new hires, terminations, compensation changes, benefit changes, or leave changes
  • Prepare and file required reports including EEO-1 reports, OSHA reports, Workers Compensations reports, Form 5500, and WA PFML reports 
  • Ensure compliance with federal and state laws and regulations and audits in partnership with the HR Operations Lead 
  • Ensure workplace compliance posters are updated in both our Bellevue and Miami offices and our employees are in compliance with any required training sessions (complete audits in these areas to ensure compliance is maintained and any errors are corrected)

Immigration & Employment Authorization:

  • Completing all I-9s using E-Verify, tracking expiration of I-9 documents and working with employees to correct in a timely fashion
  • Act as OfferUp’s point of contact for employees, managers, HR Business Partners, and outside counsel and the SME for immigration related matters (including H-1B, PERM,, DACA, OPT/CPT, and TN visas

You’ll thrive in this role if you have:

  • You have 2+ years of relevant work experience in benefits, including administration and coordination of open enrollment (bonus points if you’ve done it all in ADP Workforce Now!). 
  • You have deep knowledge of relevant federal and state regulations and filing and compliance requirements. 
  • You have demonstrated experience implementing new programs and driving changes to existing programs. You are comfortable using a metrics driven approach to measure success. 
  • You have experience partnering with outside counsel and working with employees on H-1Bs, PERM, TN, and OPT/CPT cases.
