We’re looking for the right people to join us as we scale the Seattle office.  We are hiring a Contract Facilities Coordinator who wants to solve problems, has the skills and attention to detail and wants to make an impact.

Duties & Responsibilities

Facilities:

  • Provide company with internal communications regarding outages, informational notices, etc.
  • Oversee access badging, including activating and de-activating badges for employees, temps, visitors, etc.
  • Perform routine access badge audits and maintain database
  • Assign and set up New Hires workstations and provide them with the necessary supplies
  • Ensure conference rooms and common spaces are kept tidy by performing daily walk throughs
  • Coordinate internal moves, adds and changes for site
  • Liaison with vendors, security, maintenance, property management etc.
  • Schedule routine maintenance
  • Open work orders with the building
  • Respond to and close JIRA tickets
  • Install and/or coordinate installation of ergonomic products such as keyboard trays, etc.
  • Coordinate and receive furniture deliveries
  • Work closely with EHIT in areas where facilities and IT overlap (conference room set up, new hire set up, etc.)

Travel:

  • Approve travel based on the company travel policy
  • Assist employees/candidates/clients/customers with booking travel

General Administrative Support:

  • Provides back-up coverage for front desk operations
    • Answer and direct calls
    • Receive mail and deliveries
    • Create shipping labels
    • Greet and direct visitors, vendors and employees
  • Assist with event planning
  • Order food for meetings
  • General clerical duties including photocopying, fax, mailing, and errands
  • Schedule and coordinate meetings and appointments as needed
  • Assist with projects as assigned
