We are looking for an Administrative Assistant to join us! This is a great opportunity to work on our People Ops team across a range of responsibilities. As our ideal candidate, you build relationships easily; you are a self-starter with great problem-solving skills, impeccable judgment, and discretion; you have integrity, initiative, and good organizational skills. You should have a demonstrated ability to give attention to detail while still meeting tight deadlines and be able to prioritize work effectively in a rapidly changing environment. This is a calendar and scheduling-heavy role.



DUTIES AND RESPONSIBILITIES 


In this role, your responsibilities will fall into three main buckets: supporting three members of our executive team, and general People Operations team support. 


In this role, you will be responsible for: 


• Managing and maintaining day-to-day schedules; planning and scheduling internal and external meetings, events, and conferences for three leadership team members; coordinating travel and submitting expense reports as needed [our team is currently limiting traveling] 

• Supporting People Ops team messaging and communications, including managing the internal team intranet 

• Assisting the office & admin team with general office support, including planning org-wide meetings and events (virtual and in person)



EXPERIENCE & QUALIFICATIONS


As our ideal candidate, you have: 

• 2-4 years experience supporting leadership using sound judgment, discretion, and superior customer service skills

• Excellent written and verbal communications skills 

• Proactive problem solver with strong attention to detail

• Experience and proficiency using the Google suite, Trello, Slack, or other current tech tools; you are comfortable with complex calendaring


In addition, candidates:

• Must be a U.S. Citizen or Permanent Resident

• Must pass a pre-employment background check



WHAT IS THE INTERVIEW PROCESS LIKE?


Step 1: Informational (30 minutes) - learn more about the role and share your experience

Step 2: Interviews with several members of the P/Ops team (~ 3 hours)

*There will be a task we ask you to do in preparation for your interviews

Step 3: Final Interview + Meet & Greet with 2-3 members of the Code.org team (~1 hour)

Step 4: Reference Checks 


All interviews are currently being conducted virtually via Google Meet
