Job Summary
As our Administrative Assistant I, you will be responsible for helping with all administrative support for the company. You must be exceedingly well organized, and enjoy the challenges of supporting a rapidly changing organization and diverse team. No task is too big or too small. You must be highly collaborative, yet also able to self-direct and find new ways to make the company a great place to work. This position requires the ability to remain flexible, proactive, resourceful and efficient, while maintaining a high level of confidentiality.
Qualifications & Skills

  • You are self-motivated to follow processes and complete tasks.
  • Highly organized and able to multitask, with great attention to detail. No follow-up is needed to ensure that your work is completed in a timely and accurate manner.
  • Strong interpersonal and communication skills which makes you very effective in a highly collaborative environment.
  • Demonstrated ability to manage varying levels and types of information to keep everyone informed as needed, but also to be discreet and keep information confidential when appropriate.
  • Maintain office efficiency by ensuring the company has the equipment to be successful, including office supplies, computer systems, key cards, etc.
  • Strong skills with Office products such as Microsoft Excel, Powerpoint, as well as with online administration systems. 
  • Knowledge of the Google Suite - email, calendaring, Sheets & Docs is a plus.
  • 3-5 years of experience in a role similar to this one.

Primary Duties

  • Coordinating all breakfast, lunch and snack ordering for the office, specific meetings and team events. Passionate about all things food is a plus!
  • Daily calendaring for the recruiting & hiring teams within the company & for Executives. 
  • Daily expense reconciliation using an online tool (Expensify). 
  • Employee on-boarding & off-boarding tasks.
  • Reception and delivery acceptance
  • Maintain scheduling for team calendar.
  • Mail sorting and check deposit
  • Assisting C-Level Executives with daily tasks. 
  • Coordinate team, executive and employee events.
  • General office duties, which would include helping with the Finance and HR departments, as needed.
