Position Summary:

The Data Assisting team is seeking an individual to take on the challenge of a Team Manager role. This is an exciting opportunity, and the individual who takes it on will be responsible for the development and management of the Data Assisting team within the Claims Support Department to ensure the success of both the team and the department.

Within the Claims Support Department, the Data Assisting team receives new documents that are sent to Trupanion by members and hospitals via fax, email, and postal mail. The Data Assisting team’s primary duty is to take the received materials and attach them to the corresponding policy, as well as make requests for missing documents and medical history. The Data Assisting Team Manager will be responsible for the day-to-day supervision and operation of remote and in-office staff and will work with both a domestic and international team. The optimal candidate will need to work with the other Claims and Claims Support teams to make sure that cross-team policies are effectively communicated and implemented.

The optimal candidate will be an articulate, highly energetic, team-motivated professional who can handle multiple job responsibilities with ease. Joining Trupanion and the team with an established understanding of veterinary medical terminology and medical conditions is a major plus!

Key Responsibilities Include:

  • Tracking and measuring individual and team productivity and quality results for own assessments and staffing forecasts
  • Daily monitoring of service level
  • Management of team members to ensure efficient use of team members’ time
  • Identifying and resolving potential issues to make sure standards are being met
  • Approving and planning for scheduled time-off, monitoring team member attendance, and directing shift schedules and breaks
  • Supervising, coaching, training, and applying performance management to team members
  • Meeting with the Claims Support Senior Manager to discuss areas of concern, quality control, and training opportunities
  • Working on creating the best hospital and client experience possible
  • Identifying and developing skills within the team for succession opportunities
  • Taking on some of the responsibilities of the Claims Support Senior Manager, in their absence if necessary
  • Implementing protocol or workflow changes to align with company goals and strategies

Leadership of Others:

The Data Assisting Team Manager will directly lead a team, with a combination of an onsite and remote workforce. They will be responsible for:

  • Monitoring and tracking each team member’s metrics on a monthly basis
  • Talent development and succession planning for future growth and leadership development
  • Creation and implementation of performance agreements for any team members not meeting the baseline metrics of the Data Assistant position
  • Providing coaching and feedback opportunities for improvement.

Successful candidates will be able to balance the department's needs while still being advocates for their team members.

Education, Registration & Certification:

  • Bachelor’s degree or higher preferred, equivalent experience accepted

Experience:

  • Currently in a leadership role or equivalent experience accepted
  • Veterinary background preferred but not required

Skills, Knowledge & Abilities:

  • Ability to work full time in office preferred
  • Flexibility to work any schedule
  • Strong desire to cultivate a positive and productive work environment
  • Ability to lead, develop, and motivate team members
  • Outstanding written and verbal communication and interpersonal skills
  • Excellent attention to detail
  • Ability to provide excellent customer service via phone and email to internal and external business professionals
  • Organized, self-motivated, hard-working problem-solver who can work with minimal direction once goals have been clearly stated
  • Computer skills competency including MS-Office suite and strong documentation skills
  • Ability to handle stress, problem solve, and be an active solution seeker
  • Understanding of veterinary medical terminology and medical conditions preferred
  • Excellent public speaking skills
