We are looking for a contract candidate available for approximately 20 hours a week to assist with new hire IT on-boarding and orientation.  

The ideal candidate would be someone who is somewhat familiar with using a Mac, light computer peripherals setup, and happy to meet and interact with new people on a weekly basis. Experience with Google Suite, elevated experience with Mac and light troubleshooting experience are unrequired pluses.

We expect to see between 4 and 8 new hires on a weekly basis. On average, we see around 6 a week.

We would be looking to find someone available during the day (generally between 9am and 4pm, though Tuesdays would start at 8am). They would specifically need to be available on Tuesdays, and we would ideally like to find someone who could come in on Thursdays and Fridays as well, although those days are less set in stone. 

The goal is for the candidate to be trained up to take the lead on the majority of the work done for these tasks, which include primarily:

  • New computer set up (primarily Mac, some Linux, seldom PC)
    • Establish new hire’s local account on machine, allow management software to do the majority of the configuration, then circle back to ensure everything set up properly, installing some applications as needed, and inputting license keys when necessary. Pretty low touch overall, fairly well automated.
  • Setting up desks when onsite / shipping equipment to remote hires
    • Everyone onsite gets 2 displays, keyboard, mouse, etc. Remote new hires require their new hire packages to be shipped, mostly to the continental US, sometimes around the world.
  • Inviting new hires to orientation
    • Adding people to an existing calendar event, sending the invitation to their email, and scheduling an email to send account setup instructions to remote hires.
  • Presenting the technical tools and resources that new hires have at their disposal
    • This takes place at 8:30am on Tuesdays, and generally takes about an hour. It takes place in 3 segments: 
      • general tools and resources, including showing some particulars of Google’s Mail, Calendar, and Drive online applications, as well as a few other internally documented details. 
      • Next, the director of IT Operations joins to include some info from his perspective, which takes about 10 minutes. 
      • Then, we excuse the remote hires who have joined via phone, and set up accounts with the folks onsite.
    • With the folks onsite, we set up computer password for Mac users, Google account password, and a third identity management password they use to access secondary systems, as well as a password management application which requires an authenticator app for secondary authentication. The Linux machine users are also issued Chromebooks that we help set up with their Google account. PC users get Mac laptops for mobility.
