Position Summary:

Trupanion, North America’s fastest-growing provider of medical insurance for cats and dogs, is looking for an Executive Assistant for our Co-Presidents, Margi Tooth and Tricia Plouf. Margi is responsible for all revenue generation while Tricia is responsible for all finance and operations at Trupanion. Excellent organization, judgment and communication skills are essential traits for the person in this role. The Executive Assistant will have a proven ability to manage rapidly-changing priorities and multiple tasks and projects with competing and often fast-looming timelines. They will initiate conversations and take action with minimal guidance and excellent judgment.

Key Responsibilities Include:

  • Enable effective communication and clarity between the Co-Presidents and their teams to drive alignment and to ensure key priorities are met and support goal achievement
  • Calendar management – scheduling external and internal appointments and meetings, with the ability to mindfully coordinate meetings across international time zones, communicate agendas, and coordinate logistics – often supporting last minute adjustments to accommodate business needs and partner alignment
  • Coordination of both domestic and occasional international travel arrangements
  • Expense report preparation and approvals
  • Acting as a point of contact among executives, team members, and external parties
  • Meeting notes, archival, and dissemination of notes based on project requirements
  • Inbox management – keep track of incoming and outgoing correspondence
  • Tracking and reporting on important timelines
  • Facilitating investor/analyst relationships and maintaining a contact management database
  • Supporting with written internal and external communications, to include company-wide emails
  • Coordination with external partners and vendors
  • Ability to track key initiatives in excel as well as preparation of presentations for internal and external audiences.

  • Experience working with and supporting executives with different styles, in a fast-paced company
  • Discretion and sensitivity regarding confidential information
  • Creative problem solving and flexibility with the well-honed skill to think fast and adapt readily
  • The ability to prioritize work, and quickly pivot priorities under changing circumstances
  • Demonstrates excellent judgment, in addition to being reliable and trustworthy
  • Ability to work independently and with other members of the executive team and their assistants
  • Proficient PC skills developed through extensive use of Windows and the Microsoft Office 365 Suite
