The Executive Assistant role at CarRentals goes above and beyond the scope of a typical EA position. You will become the right hand of your executive(s), always preempting their needs, requirements and constantly being five steps ahead of the game. Your goal is to take away any tasks possible from their daily role giving them the ability to use their time in the most productive way possible, while always maintaining confidentiality, integrity & teamwork.

This position will report directly to the GM of CarRentals.com and will provide administrative support to executive staff and teams.

Responsibilities will include:

  • Managing both complex and detailed executive calendars. This will involve arranging meetings and appointments across multiple calendars, as well as taking care of intricate domestic and international travel itineraries.
  • Act as the office manager; holding responsibility for deftly running the office, including space management, budget management, and troubleshooting. Work closely with your counterpart in the German office. 
  • Additionally, this position handles processing of expense reports, controlling onboarding details for new employees, maintaining email distribution lists and managing agendas for staff meetings.
  • Other responsibilities include event planning, both onsite and offsite, meeting planning and other special projects as assigned. You will work closely with the team to organize learning sessions and morale events.
  • Excellent organizational and communication skills are required along with tact, poise and exceptional people skills. Demonstrated abilities in initiative, judgment, discretion and dealing with multiple tasks are essential.

Who you are

  • 5+ years’ administrative experience.
  • Advanced skills in MS Office, (Word, Excel, PowerPoint, Outlook), strong editing/proofreading skills, along with exceptional verbal, written and organizational skills.
  • Basic knowledge of budget management tools, expense reporting, scheduling travel and event management.
  • A strong customer focus, proactive attitude and the ability to prioritize a demanding work load while maintaining a sense of humor will also be important qualities to ensure success in this position.
  • Experience supporting senior-level executives, working in a high tech and creative environment, as well as a passion for data and technology are all essential.
