We are seeking an exceptional, self-motivated, and project-focused individual to support the executives in Egencia, business travel by Expedia Group

You will bring great organizational skills with strong attention to detail and the ability to meet tight deadlines and proactively jump in to tackle tasks. You demonstrate a high level of integrity and discretion in handling confidential information and professionalism in dealing with senior level executives both inside and outside the company. You possess the ability to complete critical tasks and projects quickly, react with appropriate urgency, take effective action with requiring specific direction, and have a good sense of humor to keep it all in perspective. Experience in working with distributed teams, international time zones, and varying cultures is a significant plus.

Responsibilities for this position include the ability to partner with the executive team and other Executive Assistants to create a seamless support environment. This role requires someone who can think and plan ahead to handle multiple concurrent requests appropriately and manage time effectively.

Other key responsibilities:

  • Working with business leaders and assistants throughout the company
  • Management of complex calendar and scheduling requirements
  • Track and help drive completion of key deliverables
  • Plan international travel and reconcile expenses
  • Plan and coordinate monthly team meetings and conferences and take and distribute staff meeting minutes and follow up on action items
  • Prepare documents, reports, and other materials for staff and business meetings
  • Maintain files and records which often contain confidential information
  • Assist with ordering office supplies and catering as needed
  • Fill in for other executive assistants when coverage is needed

Basic Qualifications:

  • Minimum of 2 years experience as an Administrative Assistant
  • Proficiency with Microsoft Office: Outlook, Excel, Word, Powerpoint, and Sharepoint
  • Detailed planning, time management, and organizational skills
  • Exceptional written, verbal, and interpersonal communication skills
  • Team and customer service orientation
  • Positive, proactive, and able to have fun at work
  • Associate or Bachelor's degree preferred
