Smartsheet is looking for an Executive Assistant to support the VP Product Marketing and VP Product Management. The successful candidate will often work autonomously, must be exceedingly well organized, and embrace the challenges of supporting diverse people and programs. This position requires the ability to remain flexible, proactive, resourceful and efficient while maintaining a high level of confidentiality and professionalism at all times. Smartsheet is a fast-growing, award-winning Collaborative Work Management Software as a Service (SaaS) company. This position is based at our headquarters in Bellevue, WA and will report to the VP Product Marketing.


Job Responsibilities Include:

  • Manage communications, email, and calendaring on behalf of both leaders
  • Prioritize and manage multiple projects, and follow through on issues in a timely manner
  • Plan, coordinate and facilitate internal and external meetings and events, various team events, training sessions, etc. 
  • Collaborate cross-functionally with key members of the company support teams to aid in keeping executives up to speed on various topics internal to the organization
  • Liaison with people operations, finance and other teams on behalf both leaders and other product team leaders
  • Arrange detailed travel plans and itineraries for both leaders, team members, guests, and candidates as needed
  • Build and maintain supportive relationships with team members, cross functionally and with the Executive Assistant to Chief Product Officer, Executive Assistant team, Business Partners, Recruiters and Office Team.
  • Help onboard new employees and support their transition to the team
  • Manage expense reports for both leaders
  • Additional executive and office support as needed

 Requirements:

  • 5+ years of relevant experience in an Executive Assistant or similar role
  • Advanced level of proficiency using Gmail, Google Calendar, Google for Work and Microsoft Office 
  • Ability to identify and resolve issues in a timely manner, and gather and analyze information skillfully
  • Exceptional organization, communication skills, attention to detail, and follow through
  • Demonstrated and effective interpersonal skills, including the ability to interact with individuals inside and outside Smartsheet in a way consistent with our values and commitment to service
  • Ability to manage highly sensitive or confidential situations with professionalism
  • Strong decision-making ability
  • Ability to work independently, manage shifting priorities, demonstrate good personal judgment, and effectively handle tasks under pressure
  • Flexibility in handling workload fluctuations and multiple requests
  • Acute understanding of confidentiality and access to sensitive information
