What will you do?

  • Provide high-level administrative support to ultra-busy CEO.
  • Develop a deep understanding of critical components of the business and key partnerships to provide strategic support to the CEO and a global leadership team.
  • Manage CEO’s complex and dynamic calendar ensuring all meetings are aligned and consistent with CEO’s priorities.
  • Book complex and frequently changing travel itineraries both domestic and international for CEO.
  • Manage passports, visas, and ensure that all travel documents are up to date.
  • Schedule and coordinate calls and meetings in multiple time zones.
  • Provide high quality interactions and clear and consistent communications with team members, board members, investors, and consultants
  • Create and/or assist with the creation and modification of presentation materials, spreadsheets, and other various documents using MS Office.
  • Implement ongoing process improvements using technology and best practices to facilitate the effectiveness of team operations
  • Organize, execute, drive, and assist with team activities, team meetings, all-hands meetings, off-sites, lunches, and team social events
  • Take on ad hoc projects as they arise based on interest and as time permits
  • Maintain strict confidences around highly sensitive information
  • Evening and weekend work will be required as job duties demand.
  • Respond to and coordinate CEO’s personal requests to minimize distraction from work

Requirements

Who are we looking for?

  • 7+ years of experience as an Executive Assistant
  • Experience with executive level calendar management
  • Experience with domestic and/or international travel coordination
  • Experience with Microsoft Office Products
  • Flexibility to accommodate urgent schedule changes or requests that may require periodic evening and weekend calendar checks, as well as remotely support
  • Collaboration and partnership skills with key internal stakeholders and leadership team
  • High level of integrity and discretion in handling confidential information
  • Dependability is critical on tracking, prioritization and timely execution of tasks within deadlines
  • Bachelor Degree
