Job Description

Do you have experience providing administrative support to several C-level executives within fast-paced and dynamic environments? Do you bring a high level of initiative, creativity and organization to your craft? If so, we want to talk with you about a role on our team supporting our Chief Executive Officer and Chief Sales Officer. In this role you will: 

  • Manage multiple active executive calendars and inboxes, including scheduling team, leadership, 1:1 and department wide meetings, trainings, and events.
  • Coordinate executive and team travel (domestic and international) including flight, lodging, offsite meetings, transportation and itinerary management.
  • Organize, execute, and assist with multiple teams’ events and activities (all-hands meetings, onsite/off-sites, incentive & social events, etc.) including agenda creation, communications, and vendor coordination.
  • Provide direct support to our training group, including preparing materials, arranging catering, and coordinating administrative aspects of New Hire onboarding and team trainings.
  • Complete, audit, and submit executive expense reports, working directly with Accounting.
  • Work closely with executives on budget process & analytics, owning aspects of the project.
  • Cultivate and facilitate the culture and well-being of the teams of the executives you support. Develop a pulse for the teams, and find opportunities to remove hurdles and improve communication.
  • Anticipate guests and meetings for your executives – communicating to the necessary parties and coordinating meetings and catered meals accordingly.
  • Actively build and cultivate internal relationships across a variety of teams crucial to the success of the department, as well as external relationships including the Board of Directors, vendors, and clients.
  • Cross-train in order to provide back-up as needed for other executive assistants and reception.

Qualifications

The ideal individual for this opportunity knows the importance of integrity and ownership in ensuring seamless coordination of schedules, deadlines, and communication. You bring the following to the table:

  • Excellent verbal and written communication skills, including confidential and sensitive information.
  • Familiarity working within the tech industry a plus, but not required
  • Proven ability to work effectively with all levels of the organization with maturity and professionalism at all times.
  • You have a high degree of flexibility in a demanding, fast-paced and frequently changing environment.
  • Strong organizational skills that reflect ability to perform and prioritize multiple competing tasks seamlessly with excellent attention to detail.
  • You are a resourceful team-player, with the ability to also be very effective independently.
  • You're forward-thinking, and you have an appetite for growth and development. You are adept at identifying potential issues and are quick to seek creative solutions.

The Requirements:

  • 10+ years’ experience supporting Executives
  • Expertise in Microsoft Office Suite (Outlook, Word, Excel, and Power Point)
