Job Overview

PitchBook is looking for a highly organized, detail-oriented and enthusiastic addition to our Facilities Team. The Office Coordinator will take an active role in providing top notch support for our employees by keeping our common spaces clean, tidy and ready for use. The Facilities Coordinator is also the first point of contact for our guests and candidates and should be friendly, outgoing and eager to help. You will be a frequent resource for office related questions from employees and should have a general understanding of how the office runs, policies and procedures, or know where to find the needed information.

Outline of Duties and Responsibilities

  • Greet visitors, guests and candidates
  • Perform weekly walkthroughs to assess facility repair or maintenance needs
  • Lift up to 60 pounds as a regular function of the job
  • Be a dependable resource for employee questions and requests
  • Maintain a clean and safe workplace
  • Own the incoming and outgoing mail process
  • Assist with New Hire onboarding experience
  • Support internal event logistics (includes moving furniture and event set up/break down)
  • Work with Property Management team to resolve workspace issues
  • Support the vision and values of the company through role modeling and encouraging desired behaviors.
  • Participate in various company initiatives and projects as requested.

Experience, Skills and Qualifications

  • 1+ years previous experience in Office Administration or Customer Service preferred
  • Proactive and solution oriented – anticipates needs
  • Ability to take direction and work independently on assigned tasks
  • A “no job is too big or too small” attitude
  • Strong organizational skills including effective time management and prioritization of duties
  • Abilitiy to remain flexible in a constantly changing environment
  • Proficiency with the MS Office suite including in-depth knowledge of Outlook, Word, and Excel with the ability to pick up new systems and software easily.
  • Experience with Envoy, Slack and Zendesk a plus
  • Bachelor’s Degree preferred

Working Conditions       

The job conditions for this position are in a standard office setting.  Employees in this position may need to squat, crouch, push, pull, bend, twist, kneel, reach, lift, climb, sit or stand for extended periods of time. This position’s hours are Monday through Friday, 8:30 AM – 5:00 PM.
