Roles & Responsibilities:

  • Strong vendor management skills – role interacts with property management, janitorial, horticultural, snack and beverage and various other suppliers
  • Provide day to day direction to day porter and receptionist and any contractors as needed
  • Prepare expense reports, raise procurement tickets, process vendor invoices related to department budget and events.
  • Position requires a candidate with computer and Internet research skills, excellent interpersonal skills, ability to complete tasks in a timely manner, and the ability to work well with all levels of internal management staff, outside clients and vendors.
  • Maintain relationship with building management teams to ensure appropriate response time to administrative, maintenance & repair issues.
  • Liaise with employees regarding service requests and delivery of facilities services
  • Adhere to established deadlines and proactively communicate to stakeholder(s) if deadlines are to be missed.
  • Communicate clearly and effectively in all aspect of business: verbally, in writing, and electronically.
  • Must know when to escalate and know that transparency is key to establishing & maintaining trustworthy working relationships.
  • Proactively develop and manage client relationships ensuring that expected service levels are achieved.
  • Support the implementation of innovative programs and processes that reduce short- and long-term operating costs and increase productivity.
  • Assist the Head of Facilities to achieve financial targets and key performance indicators.
  • Assist Head of Facilities with the annual budgeting and quarterly forecasting processes for the office, and assist in the preparation of monthly spend reports (actual vs. budget, variance explanations, etc.)
  • Actively support an environment of teamwork, collaboration, performance excellence and personal success.
  • Participate in the individual performance management program and personal development planning.
  • Align with facilities leadership team as a manager and act in a manager capacity for anything involving the office.
  • Maintenance:

  • Responsible for coordinating multiple service providers in response to recurring preventive maintenance issues that affect all aspects of UiPath Bellevue premises including repairs & scheduled maintenance of Janitorial Cleaning and Services, Lighting & Electrical systems, HVAC systems, Plumbing, Moves / Add / Changes, Furniture reconfiguration and/or repairs, Security/access systems status and repairs, Locksmith Services and key control, and Inventory Management
  • Enter facilities work orders using building management portal.
  • Work with UiPath employees and vendors to assign, schedule, coordinate and complete work requests & maintenance items.
  • Receive daily report on aging/outstanding work orders and coordinate with vendors on completion or scheduling of work request.
  • Liaise with cleaning and building engineers to routinely survey floors for proactive maintenance or repair needs.
  • Manage the site in accordance with all agreed policies, procedures and contract scope.
  • Assist the Head of Facilities with vendor contract procurement processes, helping to ensure that all vendors are following contract and insurance requirements.
  • Ensure compliance with all health and safety, environment and risk management policies and procedures.
  • Track site’s vendor purchase orders, invoices, and payments.
  • Operations:

  • Coordinate food and beverage operation/supply
  • Monitor vendor performance in restocking daily consumables/snacks/beverages
  • Ordering and managing inventory of general office supplies for use by staff

What we expect from you (must have):

  • Bachelors or associate degree with technical training in project management or logistics
  • Minimum of 3 years of progressive experience and responsibility in a maintenance/operations field, two of which were holding a supervisory position directing a multi functional staff.
  • 2-3 years of related job experience, ideally in a tech company
  • Enthusiastic team player with a positive attitude who works well with others
  • Extreme attention to detail and organizational skills
  • Good judgment and problem-solving skills
  • Strong planning and decision-making skills
  • Project coordination skills preferred
  • Proficiency with Microsoft Word, Excel is required
  • Proficiency in Slack Grid platform preferred but not required
  • Excellent written, verbal, and interpersonal communication skills
