Blue Nile is seeking a Front Desk & Facilities Coordinator who will be the welcoming face at our corporate HQ; greeting guests and employees, answering and forwarding calls, and generally knowing a little bit about a lot of things and people.  As an office coordination expert, you’ll oversee building access, safety and health protocols, open and close the office, stocking office supplies and sort incoming/outgoing mail.  As a pseudo restaurateur, you’ll own keeping the entire office caffeinated by overseeing the kitchen & café offerings.  You’ll be the point of contact for vendors to ensure the office is running smoothly from a facilities and maintenance perspective. 

What you will you do:

  • Acts as the first point of contact greeting guests and employees upon arrival
  • Administers the company’s health and screening software, processes and policies including checking employees in upon arrive
  • Ensures a secure environment by issuing, maintaining and tracking key cards and temporary badges for employees and visitors
  • Order, stock and maintain inventory through approved vendors for office supplies, kitchen supplies and equipment within the monthly office supply budget
  • Maintains the facility and supply ticketing system, completing general office duties such as ordering of business cards or scheduling maintenance repairs
  • Partner with building management and outside vendors for our facility, HVAC maintenance and general building needs
  • Assists with general administrative tasks such as record keeping, copying, filing, organizing, scheduling, developing documents, answering and directing phones.
  • Coordinates communication and distributes information to office and other department personnel
  • Assists with coordinating corporate events and activities (Holiday parties, Town Halls, anniversaries and other employee engagement activities)
  • Ensures proper and relevant signage is displayed throughout the office
  • Ensures reception area is clean and presentable, kitchens and locker rooms are regularly maintained/cleaned and refrigerators are purged monthly

 What you will bring:

  • 2+ years of administration, clerical and/or facilities experience
  • High school diploma
  • Ability to use Outlook, Word, Excel and PowerPoint to prepare correspondence, schedule meetings and support business needs
  • Extraordinary attention to detail, accuracy and organization
  • Strong interpersonal skills and willingness to put in extra effort when needed
  • Ability to work as part of a team as well as independently to achieve objectives without direct supervision
  • Ability to handle multiple tasks and establish priorities in a rapidly changing environment
  • Professional image and strong phone skill
