Mason is looking for a curious, organized, self-motivated multi-tasker to support our CEO and President. This is an opportunity to join an early, fast-paced, and growing company, working closely with leaders at all levels. 

This role requires superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is important, as is a good sense of humor.

The successful candidate will thrive in organizing and categorizing large projects into micro tasks. They will be able to react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture. And, the successful candidate will be a clever and succinct written and verbal communicator with a great ability to simplify a topic.

This role will support candidates interested in pursuing career paths in the Executive Assistant, HR, Project Management fields...and beyond!

What you'll work on:

  • Organize and prioritize: Proactively manage leader calendars with attention to accuracy, detail, and allocation of time to promote productivity. Recognize the need to reprioritize as appropriate, including managing order of operations for different meetings and which comes next for follow up
  • Support events and offsite planning for internal and external groups: Organize and manage off-sites and team-based events; assist in managing special events for leadership and external groups (e.g. key customers, investors, etc.)
  • Intake big ideas and distill into clear communication: Work closely with CEO and assist with communication, for example, taking a story and turning it into a memo or email; taking a great conversation and turning into next steps with dates and deliverables
  • Document and follow up: Attend key meetings and track and help drive completion of key deliverables and follow up on outstanding items
  • Plan ahead and facilitate integration of priorities: Plan the annual department calendars, understand business priorities, and facilitate integration of priorities across teams 
  • Coordinate travel: Coordinate travel for CEO and President, ensuring effective use of time and resources

What you bring to the table:

  • Bachelor’s Degree or a minimum of 5+ years related experience assisting at the executive leadership level in a fast-paced environment
  • Thrives in organizing and categorizing large projects into micro tasks
  •  Experience with travel coordination
  • Experience handling administrative details independently, while exercising sound business judgment in keeping team members informed as necessary
  • Experience copyediting business documents and executive communications
  • Experience handling confidential information and dealing with professionals inside and outside of the company
  • Proficiency with Microsoft Office and Excel, Google tools like Google Calendar, Docs, Sheets, Slides, task management tools
  • Top tier communicator who can hear a story and retain the key points, with strong written communication 
  • A sense of humor and energy for working on complex, high-impact solutions
  • Self-starter attitude and enthusiasm for working in a hyper fast-paced, growing startup environment
