Smartsheet is looking for an effective and adaptable Office Administrator to provide administrative support to the growing team at Smartsheet. The successful candidate must be exceedingly well organized and embrace the opportunity of supporting diverse programs. This position requires the ability to remain flexible, proactive, resourceful and efficient while maintaining a high level of attention to detail. An independent, driven individual will thrive in this position. This essential role is part of the Office Operations Team and will report directly to the Office and Facility Manager in our Bellevue, WA Office.

Responsibilities

● Proactively manage office and facility matters by reporting/solving for issues in a timely manner

● Assist with employee inquiries and requests through the HappyFox ticketing system

● Manage office supply inventory and place necessary orders while maintaining budgets

● Maintain the organization and cleanliness of common spaces, kitchens, and supply closets

● Coordinate with office vendors and maintain relationships to ensure office program success

● Support office meeting services, including catering order fulfillment, conference room

scheduling, and meeting setups and breakdowns as required

● Review calendars daily and solve for conflicts, provide assistance for last minute meeting requests

● Support/coordinate facility projects including new build outs, repairs and improvements to existing space

● Critically analyze space planning needs and provide solutions, including maintaining office seating charts

● Coordinate and execute office moves

● Provide regular daily coverage for reception during breaks, lunches and as otherwise needed

● Help coordinate/facilitate onboarding, creating a positive first impression for new employees

Qualifications

● Bachelor’s degree preferred

● 2+ years of relevant experience in an Office Administrator or similar role preferred

● Ability to identify and resolve problems in a timely manner, gather and analyze information skillfully

● Exceptional organization, interpersonal, and communication skills, as well as attention to detail and follow

through

● Strong ability to prioritize and manage multiple projects, and follow through in a timely manner

● Proactive, self­starter, needing little direction

● Ability to work well both as member of a team and independently

● Comfortable with shifting priorities and frequent change in a sometimes high pressure environment

● Ability to maintain schedule flexibility depending on needs of office and team

● Demonstrated and effective interpersonal skills, including the ability to interact with individuals inside and

outside Smartsheet in a way consistent with our values and commitment to service

● Ability to move throughout the facility (standing, walking, kneeling, bending) for extended periods of time

● Superior skills with Google Apps + Google Drive
