Run and manage the daily operations in our new Barcelona office as well as support our remote employees in the EMEA region & other offices in EMEA. You will join a global dynamic team and will be part of launching new projects as well as global and regional initiatives. This role includes providing support to the Senior Leadership team and other employees as needed. No two days are the same. The ideal candidate should be detail oriented and able to change priorities at a moment's notice. 


This role is based in Barcelona, Spain.

In this role you will

  • Be one of our go-to persons for Auth0’s employees in the EMEA region.
  • Run Auth0’s (soon to be open) Barcelona office.
  • Provide general support to Auth0’s smaller offices in the EMEA region as well as our remote employees in the region.
  • Serve as the reference person for maintenance, mailing, ordering stationery, furniture, office equipment, food and drinks, supplies, and for visitors visiting the office.
  • Monitor and coordinate office services, ensuring the maintenance and the condition of the office and arranging for necessary repairs.
  • Organize events, team offsites, meetups, etc.
  • Provide general support to other departments including but not limited to: Finance, HR, and IT.

Office Manager Duties:

  • Be the face of the Barcelona Auth0 office, greeting clients, candidates and other guests as they visit the office.
  • Manage office budget and expense reports. Run cost analyses, making recommendations on existing vendor services, and coordinating regular facilities health & safety checks.
  • Own and update facilities project list and improvements backlog.
  • Maintain the appearance of the office, including the cleanliness of general office areas and supply areas, and arrange for necessary repairs.
  • Meet with, coordinate and understand contract terms and budgets for all facilities and other employee services related vendors (i.e., property managers, janitorial, food, maintenance, etc.).
  • Talk to the company! Own communications around office changes, events, remote employees support and improvements.
  • Partner with employees to design and execute events, including customer meetings, Meetups, trainings and special lunches.
  • Community involvement, reach out and work with the local community regarding issues concerning the surrounding area like transit, commuting, environment, etc.
  • Provide general assistance to the Senior Leadership team.
  • Identify critical gaps in our operations and assist with other duties as assigned.

HR, Finance and IT Duties:

  • Assist the financial department with various tasks, for example: scanning documents, creating expense reports, talking to local suppliers.
  • Assist finance and accounting with handling of vendor invoices and expenses.
  • Assisting with on-boarding, helping new hires familiarize themself with the Barcelona office & supporting remote employees.
  • Supporting the HR departments with potential necessary new hire paperwork etc.
  • Helping the IT departments with IT/AV orders in the region and other similar support.

Our ideal candidate will have:

  • 3-5 years Office/Facilities Management experience required, preferably in a fast paced tech environment.
  • Have a very high level of attention to detail and ability to juggle multiple, conflicting priorities.
  • Strong organizational and time management skills and the ability to work with minimal supervision.
  • Excellent written and verbal communication skills.
  • Advanced in English & Spanish.
  • Local knowledge is a plus
