Order Management, Senior Specialist


The Order Management, Senior Specialist, reporting to the Director, Deal Desk owns the process for validating and booking all orders in accordance with Auth0’s order and contract compliance policies. The role requires collaboration with several teams across the company, including Sales Operations, Billing, Revenue Systems, Legal, Systems, and Sales. This is a critical and foundational role for the financial operations team.

This is a REMOTE FRIENDLY role but prefer candidates to be in the PST time zone

Responsible For:

  • Review submitted sales contracts, order forms, and POs for completeness, accuracy, and conformance to Auth0 order acceptance policies.
  • Process contracts and sales orders and ensure clean bookings in compliance with company policy.
  • Utilizing reports and dashboard tracking mechanisms, identify and resolve contract data anomalies between sales and financial systems.
  • Address financial variance issues between Salesforce.com CRM and Netsuite Financial Reporting System.
  • Maintain the integrity of renewal data in NetSuite as new customer deals are entered.
  • Lead End of Month order management processes to ensure all revenue that is booked prior to the last day of the month is processed in time to meet financial reporting and compensation management deadlines.
  • Partner with operations teams to ensure that systems, finance, compensation, and legal are aligned on deals and deal structures, variances between systems, and required changes.
  • Support Deal Desk function in the improvement and communication of best practices around deal structure, order form guidelines, and all other post-sales receipt processes to ensure accurate financial recognition.
  • Share best practices with team members to enhance the quality and efficiency of support and contribute to the knowledge base.
  • Contribute ideas and innovations to continuously improve upon existing systems, work processes, policies, Knowledge management, and training for the global management team.
  • Establish strong relationships with Sales, Legal, Revenue and Financial operations teams and other internal resources as appropriate.
  • Advise reps on what is/is not within corporate guidelines.

Qualifications:

  • ORDER MANAGEMENT - 3+ years of professional order management experience in a SaaS based environment.
  • SaaS - Strong experience building, maintaining and processing large complex subscription based sales orders.
  • SALESFORCE - Proficiency with Salesforce is required (min. power user with an understanding of its object structure).
  • NETSUITE - Familiarity with Netsuite or similar ERP (e.g., SAP) is a plus.
  • MULTITASK - Prioritize and process a high volume of transactions with proficiency, accuracy and integrity.
  • EXCEL - Proficiency in Excel is a plus.
  • OTHER EXPERIENCE - Experience in accounting, sales or financial operations. Capacity to understand broader business and financial issues.
  • BUSINESS ACUMEN - Strong business acumen, organizational, time management skills and attention to detail required.
  • URGENCY - Ability to work with urgency and operate effectively in a fast-paced team environment.
  • COMMUNICATION - Excellent interpersonal skills; ability to articulate verbally and written, willingness to appropriately explain difficult issues; ability to think quickly.
  • TEAMWORK - Strong commitment to working with a team, providing excellent customer service, and maintaining professionalism.
  • TIME MANAGEMENT - Excellent time management skills, with the ability to respond to, prioritize effectively, and meet deadlines while maintaining the highest of standards for completeness and accuracy. Proven ability to prioritize workload and manage a high volume of orders at quarter and month-end close.
  • FLEXIBILITY - Independent/flexible problem-solver with ability to positively cope with change and desire to learn.

Education:

  • Bachelor’s degree or equivalent in relevant work experience.
