We do this by enabling doctors to order the right digital health solutions for the patient directly from their existing interfaces. We’re looking for an energetic, personable, and highly organized team & office admin to join our growing team. You will support logistical and administrative tasks for multiple departments and liaise with our vendors and suppliers to ensure everything runs smoothly. With your keen eye for attention and excellent problem-solving skills, you will support daily operations and develop processes to enhance overall efficiency. You will help orchestrate Xealth's customer user groups, working across multiple departments to effectively track and maintain data. You will plan and orchestrate company outings and social events and help where necessary with swag ordering and tradeshow preparation. This role has the opportunity to learn many parts of the business, whether it be product, marketing, finance or other, with the ability to grow as the company scales.
Duties:
- Provide the best first impression for each office visitor
- Manage the office ambience, to include inventory of office supplies, snacks, and furniture
- Serve as the key point of contact for office vendors
- Compile sales reports and make updates using our CRM (Salesforce)
- Assist with planning and executing customer user forums
- Assist with expense report processing for office staff
- Assist with expense report prep for executive staff
- Assist Director of Finance with basic accounting
- Assist with HR tasks, to include scheduling of candidates and new employee onboarding
- Assist with and/or manage event planning for employee and public events
- Assist with procuring swag and tchotchkes for events & giveaways
- Other interesting tasks as needed
Skills and Qualifications:
- Adept with Google Suite
- Familiarity with MacOS, Confluence/Wiki, O365, or ability to learn technology (self-taught, fast paced)
- Experience in office/project management or a related team administrative role - ideally at a startup, or in a small company environment
- Excellent communication skills
- A bachelor’s degree in Business, Journalism, English, or related field (or relative work experience)
Bonus Points:
- Experience with Salesforce, or other CRMs
- A background or interest in health, biotech, business, technology, startups, or anything related
- A penchant for playing with office puppies
