About the Role:
DreamBox is seeking a Proposal Manager to be responsible for tracking and controlling work efforts on active and pending requests for proposals (RFPs). The Proposal Coordinator is an integral part of the overall Business Operations Team, responsible for assisting with the preparation of high-quality, compliant, and client-focused proposals and presentations for customers across State (SEAs) and Local Education Agencies (LEAs). The Proposal Coordinator directly supports the Sales Operations Team during Pre/Post proposal development activities while simultaneously supporting the Regional Sales Teams in the development of strategic contracts, vendor registrations, and Request for Information (RFI) submissions.
The preferred candidate will be detail-oriented, customer-focused and able to successfully manage all facets of the proposal process under aggressive deadlines, including call facilitation, coordination, writing, content development of responsibility matrices, interfacing with internal Subject Matter Experts (SMEs), editing/proofing, production and quality control, and post-submission analysis.

In addition, preferred candidates will have proven experience managing multiple proposal development efforts simultaneously, with a focus on demonstrated experience coordinating personnel feedback, resources, and deliverables across both an internal and highly collaborative environment.
What You'll Be Doing:

  • Provide direct support during the pre-proposal process
  • Register DreamBox Learning on SEA and LEA purchasing websites
  • Maintain annual renewals for Bid Monitoring Services
  • Monitor Top 100 SEA and LEA purchasing websites twice per week for RFP/RFQ/RFI opportunities and report to Sr. Manager, Sales Operations
  • Track proposal opportunities for internal reporting purposes
  • Provide direct support to Sr. Manager, Sales Operations during the proposal process
  • Review solicitation packages/documents (RFP/RFQ/RFI), developing Bid Summary Forms and/or slide decks, detailing submission requirements as needed
  • Schedule and attend proposal kick-off meetings, as required
  • Prepare initial proposal Responsibility Matrix (Checklist) utilizing/tailoring internal company response templates 
  • Monitor SEA/LEA websites for addenda to the bid requirements and/or changes in bid deadline
  • Manage established tasks and activities within the proposal schedule, making necessary updates, as required
  • Complete all required forms and secure authorized signatures
  • Create TOC, cover pages, electronic and hard-copies for all bids, in collaboration with Senior Manager, Sales Operations
  • Maintain page counts in accordance with bid requirements
  • Read and proof proposal content for readability, consistency, clarity and compliance with requirements, as assigned 
  • Coordinate hardcopy and softcopy production efforts and oversee proposal production and “white glove” reviews
  • Create final softcopy of bid proposal and deliver to Senior Manager, Sales Operations
  • Ship bid proposal to designated address with appropriate tracking and verify delivery 
  • Organize and manage proposal resources
  • Create and track on a continuous basis all proposal submissions and report progress via company proposal tracking mechanisms
  • Manage a repository of submitted proposals to include contracts, vendor registrations/applications, and RFPs/RFQs/RFIs
  • Organize, maintain, and update Standard RFP information, to include Corporate information and Regional Sales information
  • Oversee preparation of staff resumes and bios in accordance with RFP specifications
  • Archive, maintain, and update proposal artifacts, such as sample timelines, references, resumes, technical FAQs, etc.
  • Request proposal evaluations, as directed, and support the post-proposal process
  • Research and request competitor’s proposal submissions, as assigned
  • Facilitate contract wins compliance and reporting requirements
  • Conducting a win/loss analysis on all RFP’s and track this information
  • Provide resources to the Sales Team
  • Research the industry educational funding trends
  • Providing updates and develop resource training for the sales team
  • In collaboration with the marketing team, direct the development, organization, and production of proposal materials, such as presentations, formal proposals, and quotes/contracts. These efforts include a significant amount of research, as well as technical and creative writing
  • Coordinate visual marketing strategies including but not limited to: graphics, proposal covers, brochures, boards, and PowerPoint presentations

About You:

  • Bachelors’ degree preferred
  • K-12 experience required
  • Minimum of 2 years prior experience, preferably in technical writing, proposal center or project management office
  • Ability to manage time, multi-task and excel in a deadline-oriented environment
  • Strong organizational and communication skills (written and verbal)
  • Knowledge of correct grammar, punctuation and spelling
  • Able to handle confidential material in a reliable manner
  • Strong MS Office suite experience, including Word, Excel, PowerPoint, as well as Adobe Acrobat
  • Strong team player, with ability to work independently, as well as in a team setting
