We are looking for an Office & Finance Coordinator to join our team! 


Code.org thrives in our mission-driven culture and this person will be at the center helping us ensure our office is a warm, inviting, and creative environment for our in-office and remote employees. As the Office & Finance Coordinator, you will partner with our Business Operations Manager and members of the Finance team to support our facilitates / inventory management, bookkeeping and will be the go-to person for anything office-related, helping ensure our Seattle office runs smoothly! This is a terrific opportunity for the right candidate, with responsibility and insight into the successful operation of an internationally ­recognized non­-profit experiencing incredible growth with a hybrid team! 


This position will require an average of 2 days per week of in-person time to support our hybrid office, with about 30% of our staff based in Seattle and 70% remote. We offer a flexible work schedule and the in-person days of week/hours are flexible.

WHAT YOU’LL DO

  • Ensure the smooth day-to-day running of the Seattle office, including management of office supplies, IT systems, vendor relationships, and liaison with the building management team.
  • Work with a customer service mindset to ensure world-class standards and service levels for all employees company-wide
  • Handle inventory management: procurement, inventory, and shipments of educational supplies for our education workshops and the Code. org-branded gear storefront through third-party vendors
  • Providing general administrative and project support to the wider Finance team including month-end close tasks, accounts payable vendor setup and invoices, monthly reconciliation for travel spend, and supporting annual audits and tax filings.
  • Support the Business Operations Manager to develop and manage initiatives, processes, tools, and policies related to workplace operations and programs, including operations related to our new hybrid work strategy.
  • Learning how to work as part of the Accounting team to compile and analyze data, track information, and support the company or clients
  • Support Finance, IT, Operations, and People Ops Team initiatives as they arise from time to time
  • Working from the our Seattle office ~ 2 days per week (full vaccination required per our internal policy)

As our ideal candidate, you:

  • Are experienced and proficient at using Google Suite, Trello, Slack, or other current tech tools
  • Are a great communicator with skills and experience interfacing with all levels of an organization
  • Are self-motivated, action-oriented, and eager to learn - you are constantly looking for opportunities to improve your craft and are receptive to feedback
  • Are detail-oriented with strong follow-up and follow-through skills
  • Have a proven track record to juggle and prioritize multiple time-sensitive tasks

We prefer candidates who also:

  • Are knowledgeable of GAAP, accrual accounting, and financial statements or a strong interest in learning these
  • Strive to improve efficiencies and iterate on processes
  • Are passionate about Business Operations and Finance, and want to grow your career in this field
  • Are proficient at using Quickbooks
  • Have 1+ years of experience as an Office Coordinator, Administrative Assistant, or similar role
  • Have 2+ years of bookkeeping and processing accounts payable preferred or a degree in Accounting or Finance
