Job Summary:

As our Executive Administrator | Office Manager, you will be responsible for supporting executives within the organization & managing the physical office space. You must be exceedingly well organized and able to operate independently. This is a key position that requires the ability to remain flexible, proactive, resourceful and efficient while maintaining a high level of confidentiality. 

Responsibilities:

Office Management:

  • Maintaining the office space/suite including: supplies (office & kitchen), key cards, working with building management. etc.
  • Help with in-person & remote employee requests. 
  • Coordinating all breakfast, lunch and snack ordering for the office, specific meetings and team events. Passionate about all things food is a plus!
  • Credit card reconciliation for Executives, Office & all company subscriptions through Expensify. 
  • Organization and scanning of mail. 
  • Special projects as needed 

Executive Administrator:

  • Must be passionate about calendaring meetings! Own & maintain Executive’s calendars, including corresponding to set dates/times for meetings. 
  • Organizing company & departmental meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Creating powerpoint & google slides for company, board meetings, etc. 
  • Event planning & management - coordinate executive, team & employee meetings.
  • Maintaining corporate files & owning Docusign responsibilities
  • Working with the Board of Directors & their assistants to schedule meetings. 

Qualifications & Requirements:

  • Must be able to work a minimum of 3 days per week in the downtown Seattle office. ( Perks include free lunch, fully stocked kitchen and paid parking)
  • Ability to work independently with minimal supervision using strong judgment and decision making skills.
  • Self-motivated to follow processes and complete tasks.
  • Highly organized and able to multitask, with great attention to detail. 
  • Strong interpersonal and communication skills 
  • Ability to manage & be discrete to varying levels/types of information.
  • Rockstar Powerpoint skills are needed. Along with strong knowledge of the Microsoft & Google Suites.
  • 3-5 years of experience in a role similar to this one.

This position is located in the downtown Seattle corporate office.

Base pay range: $42,000/yr - $88,000/yr + 10% Corporate Bonus
