·Manage complex calendars and scheduling requirements ; arranging appointments, meetings, conference calls, etc., including conflicts, determine purpose and priorities, recurring meeting rationalization, management of the daily and weekly schedules.
·Track deliverables to completion and follow up on outstanding items
·Act as a liaison for direct reports
·Coordinate complex travel itineraries
·Maintain and file the monthly expense reports
·Participate in the staff meetings, collect action items and follow though for completion
·Maintain and process multi-currency expense reports accurately and in a timely manner
·Drive key team activities and group logistics. Help plan events/off sites for the company
·Manage Visa and Passport processing for executives
·Identify areas of improvements and act as a change agent, engaging and working cross-functionally.
·Manage and coordinate meetings/calls with external customers/partners and their Executive Assistants
·Special projects handling, examples are Org charts, handling confidential and non-routine information with sensitivity
·Work closely with the leadership team, recruiting and other Executive Assistants to provide support to the organization
·Minimum of 5 years’ experience assisting at the executive level in a fast-paced environment
·Proficiency with Microsoft Office, specifically Outlook, Word, Excel, PowerPoint, and SharePoint ,Skype and Teams
·Experience with domestic and international travel coordination
·Ability to handle administrative details independently, while exercising good judgment in keeping team members adequately informed
·Ability to utilize sound business judgment
·Ability to coordinate, collate and present different operational metrics
· Grace under pressure, and the ability to switch gears at a moment’s notice
·Exceptional written, verbal, and interpersonal communication skills
·Exceptional planning, time management, and organizational skills
·Experience with expense reporting and travel management tools is a plus
·Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
·High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company
·Positive, proactive, and able to have fun at work and help others do the same
