What will you be doing?

As the Office Assistant, you will be responsible for providing exceptional front-office administrative and reception support for the Operations Team. The Office Assistant can expect to spend approximately 75% of their time managing office/reception duties and 25% of their time on scheduling/executive support. 

Office/Reception Support

Provide reception support by greeting and directing guests, handle incoming calls and manage the front office area.

Manages day-to-day office needs including maintaining office supplies inventory, ordering/restocking F&B, and ensuring the highest level of care and quality.

Sign for office deliveries, initiate service requests and communicate delivery adjustments to office vendors.

Manages NPS (net promoter score) survey scheduling, distribution and maintaining data integrity for Client Services.

Setup/updates project SOW within company wiki.

Run/unload dishwasher daily, keep fridge and kitchen area clean, and ensure tidy reception and meeting room areas.

Assist with internal and offsite meeting and event coordination/set-up.

Collect and sort mail on daily basis.

Receive packages and deliver to appropriate person or dept.

Performs additional administrative, data entry and ad hoc projects as needed.

 

Scheduling/Executive Support

Manages executive calendars.

Assists with booking of meetings; includes recurring and large offsite meetings.

Schedules project kickoff and retrospectives.

 Books employee, client and executive travel arrangements as requested.

 

Your Required Skills Should Be:

1+ years experience in an administrative or customer service capacity.

Excellent written and verbal communications skills with the ability to communicate effectively in English.

Excellent computer skills in a Microsoft O365 environment, including Outlook, Excel and Word.

Ability to work independently and with a team.

Ability to prioritize and strong attention to detail with a focus on quality at all times.

Organized with a desire to work as efficiently as possible.
