The Personal Executive Assistant primary functions will be to provide personal assistance to the CEO and his family. They will manage the CEO’s personal family affairs, family calendar & schedules, personal real estate, finances, and any business transactions. Will also be responsible scheduling any travel arrangements, running errands and perform other responsibilities assigned.

This position requires high level of organization, multi-tasking, and determination. Must have a keen eye for detail and be very perceptive. The assistant will need to be providing advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skill and knowledge. The personal assistant must be reliable and able to work flexible hours and must respect privacy; understanding the need for confidentiality in all areas of work. The successful individual will use initiative, independent judgment, tact and diplomacy with sensitive, complex, and highly confidential business.

What you'll do:

  • Maintain busy personal schedule and calendar appointments, coordinating of family activities and travel
  • Manage personal real estate
  • Oversee house staff and personal care team
  • Provide a central line of communication (phone and email) for the Executive, understanding priorities and appropriate follow up to communications
  • Run errands; Handle personal packages and returns
  • Manage and coordinate small to medium events
  • Managing and organizing electronic databases
  • Process and prepare documents, such as passports and visas
  • Track personal projects; Organizational projects as assigned
  • Research, analyze and collate information as required. Catalog and digitize paperwork, information and documents as required or requested
  • Keep material and information in Executive’s office very well organized and accessible.
  • Complete and mail bills, contracts, policies, invoices, or checks
  • Compile, copy, sort, and file records of business transactions, and other activities.
  • Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers
  • Inventory and order materials, supplies, and services

What we are looking for:

  • Strong professional written & oral communication
  • Need to be flexible, able to travel, self-starter, and the ability to work with minimum supervision.
  • Expert level Microsoft Office skills including Word, PowerPoint, Excel and Outlook.
  • Must be able to work in a fast-paced, high performing environment with demonstrated ability to juggle multiple competing tasks and demands
  • Ability to interface well with all departments of the company and work effectively with individuals at all levels within the company
  • Must be willing to work as needed, including performing personal and business tasks for Executive
  • Must have valid State driver’s license and able to provide DMV abstract if requested
  • Ability to work and thrive independently
  • Must have flexibility with schedule; occasional evenings and weekends may be required
