About the Role:

The Facilities Program Manager drives strategic project management on high-priority, cross-functional initiatives for the Facilities team and stakeholders. This person acts as a centralized source to manage projects from ideation to execution by ensuring that goals are met. The successful candidate must be comfortable operating on both the strategic and tactical levels, simultaneously acting as an internal customer relationship manager, educator, analyst, solutions architect, and implementer. A proven track-record, expertise, and passion for facilities management is critical.

As the Program Manager you'll work directly with the Director of Facilities and the Office Management team responsible for the day-to-day operation, organization, and safety of the PitchBook offices in Seattle, New York, San Francisco and London. You will assist in planning and execution on a variety of facilities needs to accommodate our growing employee population and ensure our work environment is best in class. This role will report to the Director of Facilities.

Primary Job Responsibilities:

  • Implement and maintain program initiatives, establish short and long-term program objectives and oversee multiple initiatives.
  • Work closely with project sponsor, and cross-functional teams to plan, scope, identify deliverables and required resources, and timing for new initiatives.
  • Evaluate and overcome program risks, anticipate next steps and potential obstacles, and implement and manage changes to ensure project goals are achieved.
  • Proactively meet with stakeholders to make communication easy and transparent regarding project progress and roadblocks.
  • Produce accurate and timely reporting of program status throughout its life cycle in Asana, the project management tool used by the team to organize, track, and manage projects.
  • Further develop standards and procedures as business and customer needs evolve
  • Partner with Finance Team members on opportunities to RFP and/or negotiate service contracts
  • Manage and enhance existing streams of work such as data enhancement initiatives, headcount and hiring planning, intra and inter department communication and more.
  • Conduct regular, formal site condition inspections and develops solutions for systemic needs
  • Implement structure order and clarity to ambiguous problems with little direction or oversight.
  • Communicate effectively and efficiently with your team and other stakeholders to provide updates on project progress, address roadblocks and celebrate wins.
  • Support the vision and values of the company by setting an example and demonstrating desired behaviors.
  • Participate in various company initiatives and projects as requested.

Skills and Qualifications:

  • A bachelor’s degree and 5+ years of professional work experience with 2+ years of project or program management preferred.
  • Solid understanding of sourcing/procurement, building systems and maintenance, vendor management and customer service.
  • Exemplary verbal and written communication skills; comfortable to engage a diverse array of audiences
  • Ability to effectively communicate with local and international teams in a multicultural setting both in person, in writing, and via Zoom video calls
  • Ability to operate with a strong sense of urgency and deliver results.
  • Self-motivated, goal-oriented attitude and can work effectively as an individual or as part of a team.
  • Analytical and process-oriented with a dedication to continuous improvement.
  • Effective resource management and project management skills
  • Ability to problem solve and use judgment to make decisions within ambiguous situations.
  • Establishes trust and maintains open, positive relationships with team and customers
  • Highly curious with a positive attitude.
  • Strong organization skills with attention to detail.
  • Knowledge of the MS Office suite including Outlook, Word and Excel.
