ExtraHop is looking for a smart, driven, problem solver to provide support for our evolving HR and Staffing tools and processes. The HR Operations Specialist plays an integral role in maintaining systems and reporting data for the department and the company.  In this role, you will develop deep expertise on the HR services and technology solutions used by ExtraHop and will work with business leaders, HR partners, recruiters and IT to understand and document strategy, requirements and timelines. You will participate in cross-functional teams through the process and policy design, delivery, implementation and support of new HR/Recruiting tools and programs and services.

You will own data management, including the design and execution of data management of employee data, benefits, and compensation.  You will own ongoing data auditing, design and production of key performance metrics, and tracking trends to identify automation opportunities and improvement of data management activities.

Additional duties and responsibilities may be assigned as needed.

Responsibilities

  • Maintains and recommends process improvements for the HRIS system and Performance Management tool
  • Design and implement efficient end-to- end processes and automate solutions focused on solving user needs and on scaling the company
  • Maintain ongoing employee files, including conducting periodic audits
    Generate reports used for workforce planning, talent management and financial and recruiting forecasting
  • Monitor, audit, and ensure compliance on all new hire paperwork for accuracy
  • Verify and ensure legal compliance with the completion of the I-9 including E-verify regulations
  • Administers pre-employment requirements including background requests, NDAs, and employment agreements
  • Oversee employee immigration program, working closely with external immigration counsel
  • Ensures employee data is accurate in all HR systems
  • Administers benefits plans and procedures, ensures compliance with ACA and other applicable legislation, and identify ways to improve policies and procedures
  • Coordinates open enrollment and data related details. May answer benefit plan questions and facilitate resolution of escalated claims investigations and disputes
  • Assist with the administration of the 401(k) retirement plan including plan detail level reporting and all related employee and vendor transactions. Assist with annual 401(k) audit process including 5500 filing notices
  • Ensures ERISA compliance and timely delivery of required
  • Maintains compliance with federal, state and local employment and benefits laws and regulations
  • Assists with compensation benchmarking, survey completion
  • May assist with employment branding activities and planning for on-site events

Qualifications

  • College degree or equivalent work experience
  • 2 to 4 years of HR experience, including systems
  • Advanced MS Excel skills, including pivots, charting, formulas, functions, and presentation preparation
  • Experience with ADP, BambooHR, Jobvite, LMS and benefit tracking systems preferred
  • Experience with selecting and implementing software solutions
    Possess a high level of integrity – must show good judgment and confidentiality at all times
  • Demonstrates sensitivity to deadlines and commitments.
  • Adapts to changes in business, job and customer requirements, systems, procedures, tools, team members and methods
  • Demonstrated ability to be flexible and collaborative across departments
    Attention to detail and the ability to prioritize in a fast-paced environment
  • Superior analytical and critical thinking skills
  • Must be able to multitask and prioritize workload, effectively managing competing priorities on a daily basis, move fast
  • Strong technical skills in the use of HR systems, MS office and other tools, excel proficient
  • Ability to identify problems and drive appropriate solutions across diverse stakeholders
  • Strong internal and external customer service focus with an ability to develop solid working relationships
  • A bias for action, a strong work ethic and desire to achieve excellence
