We’re looking for a Front Desk Coordinator to perform a wide range of reception, administrative, and office support activities to facilitate the efficient operation of the front office, food and office supply inventories, and company internal events. 

Duties and Responsibilities 

  • Reception Management
    • Phones – answer and forward calls as appropriate
    • Shipping and Receiving – FedEx preparation/tracking and receive/track incoming packages
    • Mail Pick-Up and Distribution – Maintain check-logs for accounting
    • Security – open and close office doors at appropriate times, visitor log, NDA signature log, assist vendor, and Track/order parking vouchers
    • Guest Services – greet guests, notify guest contact, and offer refreshments
    • Employee Services – help arrange conference rooms, general information, and assistance, and assist with projects
    • General Clerical Duties – photocopying, fax, mailing, errands, meeting arrangements, shuffle meetings to accommodate special situations, pick up lunches for guests, post office and FedEx runs, and help with copy projects, name tags, and prep work for special events.
    • General Administrative Duties – Inventory, kitchen supplies, and stocking, ordering office supplies, and coordinate copy machine supplies.
    • Internal Event Coordination – plan company parties and happy hours with the office manager while maintaining budgets. Head up party hoppers event planning group and order catering and décor.

Required Qualifications and Experience

  • Two to three years experience as a receptionist or administrative assistant
  • Associate degree or relative experience, Bachelors degree a plus
  • Proficient with Microsoft Office Suite, Google Docs, phone systems, and office equipment
  • Attention to detail and strong project management skills
  • Ability to interface with clients, vendors, recruits, and colleagues at all levels effectively with a strong sense of professionalism and maturity
  • Professional appearance
  • Produce consistently high-quality results under tight deadlines
  • Excellent verbal and written communications skills
  • Resourceful, proactive self-starter with the ability to think ahead
  • Work independently and as part of a team
