Position Summary:

Swiftly is currently seeking a highly experienced event planner to manage every aspect of event production, from concept to execution. The ideal candidate is a proactive self-starter who thrives in fast-paced environments, is able to juggle multiple tasks under compressed deadlines with ease, and always maintains a great attitude while striving for success. Responsibilities Include:

  • Manage all aspects of event planning, meet strict deadlines, and stay within budget
  • Nurture and build relationships with vendors, venues, and other industry contacts while crafting and implementing the creative and logistical aspects of all events
  • Remain current (or ahead of the curve) with trends in event planning, design, and production, and proactively identify and solve operational challenges
  • Establish procedures and train staff to execute them
  • Coordinate with internal staff, clients, and vendors to establish the requirements for an event, and serve as liaison to senior executives, government officials, and industry leaders throughout the planning process
  • Drive cross-functional efforts to support all pre-show and post-show marketing activities including; email outreach, social promotions, marketing materials, sales enablement, swag and giveaways, reporting and metrics, etc.
  • Lead all pre-show and post-show prep meetings
  • Produce post event reports for Senior Leadership detailing event performance, tracking key metrics and assessing Return On Investment
  • Lead and manage the development of speaking/presentation materials for Senior Leadership
  • Manage on-site preparations, production, and event breakdown
  • Other duties as assigned

Required Qualifications:

  • 5 -7 years of proven success in event planning or coordination
  • Strong project management skills
  • Experience developing and executing event strategy
  • Budget management
  • Strong interpersonal and communication skills
  • Excellent organizational skills, including multitasking, time management, and an extremely high attention to detail
  • Experience developing speaking content and presentation materials
  • Ability to handle pressure and make good decisions quickly
  • Experience in building and maintaining positive business relationships
  • Flexible schedule and ability to travel as needed

Preferred Qualifications:

  • Bachelor’s degree (or equivalent) in event management or related discipline
  • Experience in marketing or public relations
