Job Overview:

We are seeking an experienced Deductions Analyst to join our Accounting team. In this role, you will be responsible for analyzing, resolving, and reducing customer deductions, chargebacks, and penalties—primarily from our large wholesale accounts.

The ideal candidate is a self-starter with exceptional problem-solving skills, strong attention to detail, and excellent communication abilities. You will investigate the root cause of deductions, including those related to shipping discrepancies, pricing variances, and compliance violations, and partner cross-functionally—particularly with the Operations team—to drive resolution and implement preventative solutions.

In addition to managing deductions, you will provide support to the Accounts Receivable team through cash application and other AR-related tasks. This is a highly visible role with a direct impact on cash flow and operational efficiency.


What You’ll Be Doing:

Deduction Analysis & Resolution

  • Review and validate customer deductions related to compliance, shipping, and pricing
  • Investigate recurring penalties from large accounts and identify root causes
  • Dispute and resolve deductions via customer portals and obtain supporting documentation
  • Coordinate with Operations, Retail Support, and Sales on claim resolution
  • Maintain organized records and prepare deduction-related entries for accounting

Logistics Collaboration & Partnership

  • Partner with the Operations Team to resolve frequent shipment errors contributing to chargebacks
  • Analyze deduction trends involving short shipments, compliance violations, and delivery issues
  • Recommend and help implement operational changes to prevent recurring penalties

Audit, Controls & Process Development

  • Conduct regular audits of high-volume accounts to detect patterns and assess financial impact
  • Develop and improve standard operating procedures for deduction handling and tracking
  • Collaborate on deduction-related process improvements and control documentation
  • Oversee vendor management process ensuring vendors are set up in accordance with documented compliance requirements

Reporting & Insights

  • Prepare recurring and ad hoc reporting on deduction categories, resolution time, and financial exposure
  • Present key findings to Accounting leadership
  • Assist with documentation during audit and month-end close related to deductions

Limited AR & Cash Application Support

  • Assist with applying payments against open balances when needed
  • Help research unapplied cash related to deduction disputes
  • Coordinate with AR team to ensure clean customer account aging

Cross-Functional Engagement

  • Serve as Accounting's representative in deduction-related discussions with Operations, Retail Support, and Sales
  • Participate in customer calls to address open deductions and support financial discussions

Skills & Qualifications:

  • Bachelor's degree in Accounting, Finance, or related field
  • 2+ years of experience in deductions, chargebacks, or compliance resolution roles
  • Strong analytical and investigative mindset
  • Experience analyzing large data sets in Excel
  • Strong attention to detail
  • Excellent communication and presentation skills
  • Comfortable working cross-functionally in a dynamic environment
  • MS Office – Advanced Excel skills (VLOOKUP, Pivot Tables, etc.)
  • Google Sheets/Slides

Preferred Skills:

  • Experience working with large retailers or distribution partners
  • Familiarity with customer compliance
  • Experience with customer portals (e.g., Amazon, Best Buy, Sam’s Club)
  • Familiarity with Oracle NetSuite System or similiar
