We are seeking an ambitious, proactive, curious, and highly organized Administrative Assistant to support one of our Senior Executive Assistants.

This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The right candidate will be capable of prioritizing and managing multiple projects in a dynamic, ever-changing environment, and is a natural self-starter with strong administrative and project related skills.

This role is based within our Kirkland, WA office and would require being onsite 4 days per week.

Responsibilities:

  • Support calendar management by helping to schedule and coordinate meetings, flagging conflicts and escalating as needed to the Senior EA.
  • Anticipate executive needs and proactively identify opportunities to streamline processes and improve team efficiency
  • Own end-to-end project execution for key initiatives (hiring, off-sites, onboarding) with minimal oversight, escalating strategically when needed.
  • Set up internal and external meetings, including sending invites, reserving conference rooms, and preparing basic agendas.
  • Help take notes and track action items during meetings to document decisions and next steps.
  • Assist with domestic and international travel arrangements under the guidance of the Senior EA.
  • Create and submit expense reports on behalf of the team.
  • Help identify and implement process improvements across administrative functions, demonstrating initiative in a rapidly evolving environment.
  • Represent the executive team with poise and professionalism in interactions with internal teams, candidates, and external vendors.

Qualifications:

  • Bachelor's degree preferred but not required.
  • 3+ years of administrative or executive support experience; experience in a fast-paced, high-pressure tech or startup environment is a plus.
  • Demonstrated ability to work independently, and within ambiguity. 
  • Familiarity with Google Suite (Calendar, Docs, Sheets, Gmail).
  • Clear written and verbal communication skills.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Ability to navigate cross-functional relationships at all levels of the organization.
