Role Description

Dropbox is seeking a detail-oriented and highly resourceful Administrative Business Partner (ABP) to support product leadership within the Dash organization (Dropbox’s AI division). Our Admins are the glue that holds everything together — from complex calendaring and travel to organizational leadership and team support. In this role, you will have the opportunity to participate in a wide variety of confidential, operational, and strategic tasks that directly impact the success of our teams and leadership.

The ideal candidate is humble, proactive, and skilled at building strong relationships with internal stakeholders and external contacts. You thrive in a fast-paced, ever-changing environment, and know how to tame chaos while remaining calm, flexible, and approachable. If you enjoy balancing high-level strategic partnership with detail-oriented execution, this is the role for you.

Responsibilities

Executive Support & Calendar Management

  • Strategically manage complex calendars in a rapidly changing environment, ensuring alignment with organizational priorities
  • Coordinate seamlessly with other executives, assistants, and senior leaders to balance competing demands
  • Protect time and anticipate scheduling conflicts while ensuring availability for critical meetings.

Travel & Event Coordination

  • Arrange domestic and international travel, including itineraries and logistics
  • Plan, execute, and support on-site and off-site meetings, events, and team gatherings

Operational Leadership & Collaboration

  • Serve as the face of Dropbox on behalf of your VP, building strong, trust-based relationships with both internal and external stakeholders
  • Partner with other admins to ensure effective leadership coverage, alignment, and consistency across the broader org
  • Coordinate and track special projects, initiatives, and cross-functional priorities

Administrative Excellence

  • Prepare and reconcile monthly expense reports with accuracy
  • Handle sensitive and confidential information with discretion
Requirements
  • Bachelor’s Degree (or equivalent field experience)
  • 5+ years’ experience in an executive or administrative support role, preferably supporting senior leaders
  • Proven ability to manage heavy calendaring for multiple leaders and support their teams
  • Demonstrated ability to juggle multiple projects, manage shifting priorities, and act quickly with sound judgment in an organized, detail-oriented way
  • Excellent communication skills, with the ability to collaborate across a wide spectrum of personalities and stakeholders
  • Track record of being proactive, resourceful, and consistently going above and beyond
  • Ability to maintain composure, professionalism, and a sense of humor in high-pressure situations
  • Strong Google calendar/email/doc skills
  • Event planning expertise
  • Passion for Dropbox and helping your leads and their teams as they scale
Preferred Qualifications
  • Experience working in the tech industry
  • Familiarity supporting product leadership teams
  • Exposure to project or program management responsibilities

What you need to know about the Seattle Tech Scene

Home to tech titans like Microsoft and Amazon, Seattle punches far above its weight in innovation. But its surrounding mountains, sprinkled with world-famous hiking trails and climbing routes, make the city a destination for outdoorsy types as well. Established as a logging town before shifting to shipbuilding and logistics, the Emerald City is now known for its contributions to aerospace, software, biotech and cloud computing. And its status as a thriving tech ecosystem is attracting out-of-town companies looking to establish new tech and engineering hubs.

Key Facts About Seattle Tech

  • Number of Tech Workers: 287,000; 13% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Amazon, Microsoft, Meta, Google
  • Key Industries: Artificial intelligence, cloud computing, software, biotechnology, game development
  • Funding Landscape: $3.1 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Madrona, Fuse, Tola, Maveron
  • Research Centers and Universities: University of Washington, Seattle University, Seattle Pacific University, Allen Institute for Brain Science, Bill & Melinda Gates Foundation, Seattle Children’s Research Institute
