We are seeking a highly organized, proactive, and detail-oriented Administrative/Virtual Assistant to provide remote support to our team. In this role, you will be responsible for a wide range of administrative tasks that are crucial to our daily operations, including managing schedules, coordinating communications, and maintaining records. What you will be responsible for:
* Manage and maintain calendars, including scheduling meetings, coordinating calls, and sending reminders.
* Handle email and phone correspondence, acting as a primary point of contact for routine inquiries.
* Provide support for policy management tasks, such as updating policy records, tracking renewals, and processing endorsements.
* Organize and maintain digital files and databases, ensuring data accuracy and easy retrieval for the team.
* Assist with customer service tasks, such as sending follow-up communications and ensuring client inquiries are addressed promptly.
* Prepare and edit documents, presentations, and reports as needed.
* Conduct online research and compile data to support various projects.
* Perform basic administrative tasks, such as invoicing, tracking expenses, and managing billing inquiries.
Your ideal qualifications:
* Experience: Proven experience as an Administrative Assistant or Virtual Assistant, preferably within the insurance or financial services industry.
* Tech Proficiency: High level of proficiency with office software (e.g., Microsoft Office, Google Workspace) and virtual communication tools (e.g., Slack, Zoom).
* CRM Familiarity: Experience using CRM systems to manage client information and track communications.
* Self-Motivated: Strong ability to work independently with minimal supervision and manage multiple tasks simultaneously.
* Organizational Skills: Excellent time management and organizational skills with a strong attention to detail.
* Communication Skills: Strong written and verbal communication skills.
