Acura of Seattle, a dealership part of the O’Brien Auto Group is currently seeking an AP/AR Clerk to join our accounting office.


Our AP/AR Clerk works under the general supervision of the Office Manager, to ensure that all vendor invoices are paid accurately and timely, also must maintain an organized and up-to-date accounts payable records and prepare checks. Experience is preferred but not necessary also candidates must be well organized, detail oriented, and thrive in a fast-paced work environment.


This position pays $22.65 per hour.

Job Summary:
The Accounts Payable/Receivable position will be directly responsible for maintaining all payable transactions and accounts receivable schedule.


Responsibilities to Include:

  • Receive and account for moneys from daily mail.
  • Reconcile cash sales.
  • Enter incoming payables daily, to include:
    • Match invoice with PO
    • Post to stock cards
  • Enter all service, parts and rental invoices daily to include:
    • Match internals with PO and post to stock cards
    • Make sure daily cash sales invoices match with daily deposits
  • Back-up receptionist/cashier to include:
    • Answer any calls that ring more than two times
    • Relieve the receptionist for breaks and lunch
    • Help with any difficulties on daily deposits, etc.
  • Order supplies.
  • Reconcile receivables twice monthly.
  • Handle A/R collections.
  • Run checks by the tenth of every month.
  • Do 1099s at year-end.
  • Collect W-9 forms on all A/P vendors.
  • Type and disperse hand checks.
  • Perform other duties as assigned by management.
  • Regular attendance is essential.
  • Work in cooperative, positive & professional manner with all personnel in the company.
  • Treat members of the public and customers in a courteous and non-discriminatory manner. Maintain professional demeanor while at work.
  • Must conform to company policy regarding non-discrimination and harassment.

Daily/Weekly/Monthly Checklist
Daily:

  • Enter and Post A/P invoices
  • Book Parts sales transactions
  • Post internal and A/P invoices to stock cards
  • Book service and sales transactions
  • Reconcile cash sales
  • Back up Receptionist/Cashier

Weekly:

  • Audit warranty
  • A/R collections
  • Reconcile sublet
  • Audit PDI schedule

Monthly:

  • Run A/R statements and mail
  • Enter advertising budget
  • Reconcile A/P statements and pay vendors

Qualifications:

  • Strong emphasis on customer service
  • Ability to create and edit Excel spreadsheets
  • Professional communication, both written and verbal
  • Ability to multitask and prioritize
  • Ability to work in a fast-paced environment

Equipment/Machines/Tools Typically Used: phone, computer, adding machine, copier, calculator, stapler, fax machine, postage machine, pencils/pens, letter opener, scissors, and rulers.

Physical Demands: Frequent twisting and/or turning of trunk, reaching, and handling of objects. Intermittent standing, walking, and sitting. Infrequent stooping, kneeling, crouching, and lifting of 10 lbs or less.
