What are we looking for in an Administrative Assistant?
The Associate Executive Administrative Assistant provides comprehensive high-level administrative support, operational and governance support under the direction of the Executive Administrative Assistant Supervisor. This position requires strong organizational abilities, attention to detail, and the capacity to manage multiple tasks while maintaining confidentiality. The assistant acts as a liaison between staff, leadership, and outside contacts, helping to ensure effective communication and supporting daily operations. Flexibility in schedule is important, as the role may occasionally require attendance at events or activities outside of regular business hours.

Schedule: Monday - Friday 8am to 5pm
Administrative Assistant duties may include:

  • Provides comprehensive administrative support to executive leaders, including: calendar management, meeting coordination, travel arrangements and expense reconciliation.
  • Track deliverables, deadlines and commitments for executives while protectively reminding leaders of their upcoming obligations.
  • Prepare, format, proofread, and distribute executive-level correspondence, reports, presentations, and briefing materials.
  • Provide leadership committee support including preparing committee agendas, scribing meeting notes and support follow-up on action items.
  • Assist in providing administrative support to the Board of Directors
  • Assist in coordinating Board and Committee meetings and events, including: scheduling, agenda preparation, material compilation, attend meetings to take Minutes, and logistics (in-person and virtual).
  • Maintain organized filing systems both digitally and physically.
  • Monitor office supplies and coordinate procurement.
  • Support onboarding and training of administrative staff.
  • Review and assist in preparation of Admin budget

Qualifications:

  • Associate degree or equivalent coursework/training; bachelor's degree preferred. 
  • Minimum of 5years of administrative experience, preferably supporting senior executives. 
  • Experience in supervising administrative staff and supporting board level functions is desired.
