We’d love to hear from you if:

Research shows that while men apply to jobs when they meet an average of 60% of the criteria, women and other marginalized folks tend to only apply when they check every box. So if you think you qualify, but don't necessarily meet every single point on the job description, please still get in touch.

As the Business Operations Director, you will report to the VP and will be the operational lead for a dedicated set of client portfolios and groups. In this role, you are directly responsible and accountable for the staffing, planning, and internal operational decisions that drive the success of your assigned groups.

You will work as the primary partner to portfolio leads, owning the end-to-end resource management process - from last-mile staffing to the development of business cases for new hires. You will support organizational design and spans-of-control planning to ensure portfolios are structured for efficiency and that delivery teams are staffed to meet both client needs and internal profitability targets.

This role requires a leader who understands the mechanics of agency service delivery and can take full ownership of a group's operational health. By leveraging resource models, capacity data, and financial insights, you will make decisions that support both near-term staffing and long-term planning. Your work ensures a balanced alignment between client demands and internal staffing, driving overall operational excellence.

This is an individual contributor role, focused on driving staffing decisions and providing strategic support without direct team management responsibilities.

As the Business Operations Director, you will support:

  • Operational Leadership & Strategic Support

    • Maintain close relationships with portfolio and group leads, serving as the accountable owner for all staffing, planning, and internal operational decisions.

    • Lead organizational structure and spans-of-control planning to ensure portfolios are organized for both maximum growth and operational efficiency.

    • Facilitate regular touchpoints with leadership to discuss pipeline activity and team capacity, bringing structure and clarity to complex organizational shifts.

    • Identify risks and implement solutions that keep the portfolio running smoothly and transparently.

  • Staffing Execution & Portfolio Management:

    • Manage last-mile staffing for all roles within the group, serving as the final decision-maker to ensure quick and accurate coverage for new deals, transitions, and backfills.

    • Own the end-to-end hiring process, including developing data-backed business cases and recommending new roles based on analysis of financial and capacity needs.

    • Lead account rebalancing initiatives by assessing demand shifts and proactively adjusting allocations to meet workload needs or margin targets.

    • Coordinate closely with Business Development to determine staffing availability and expertise for upcoming pitches and new business opportunities.

    • Maintain a deep understanding of team capabilities to ensure every assignment supports both short-term client success and long-term portfolio health.

  • Financial Performance & Resource Optimization:

    • Define staffing needs for all new opportunities and coordinate with Client Finance to ensure alignment with group profitability and margin targets.

    • Own allocation management, CPS insights, and portfolio analysis to identify resourcing risks or inefficiencies.

    • Partner with Client Finance, Business Development, and Client Success on renewal planning, scope changes, and the financial implications of contract shifts.

KPIs:

  • Gross margin

  • Utilization

  • Time to staff new opportunities and cross sells

Professional Qualifications:

  • 10+ years of experience in business operations, resource management, finance, or agency leadership, with a clear track record of owning operational outcomes for large portfolios.

  • Deep understanding of agency service delivery models, specifically how to balance client needs with internal operational constraints.

  • Advanced experience managing P&L drivers, margin targets, and collaborating with Finance teams to build data-backed business cases for headcount.

  • Demonstrated ability to act as a primary partner to senior leadership (Managing Directors/VPs), providing clarity and making firm decisions in high-pressure staffing scenarios.

  • Experience in managing spans-of-control and designing team structures that support both scalability and profitability.

  • Technical proficiency in tools such as Google Sheets/Excel, Google Slides, ChatGPT/Gemini, Salesforce, Workday, Tableau, and/or SQL for data set creation, data analysis, visualization, and resource management.

  • Advanced analytical skills with the ability to interpret complex datasets and generate clear, actionable insights that drive both operational and financial performance.

What you need to know about the Seattle Tech Scene

Home to tech titans like Microsoft and Amazon, Seattle punches far above its weight in innovation. But its surrounding mountains, sprinkled with world-famous hiking trails and climbing routes, make the city a destination for outdoorsy types as well. Established as a logging town before shifting to shipbuilding and logistics, the Emerald City is now known for its contributions to aerospace, software, biotech and cloud computing. And its status as a thriving tech ecosystem is attracting out-of-town companies looking to establish new tech and engineering hubs.

Key Facts About Seattle Tech

  • Number of Tech Workers: 287,000; 13% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Amazon, Microsoft, Meta, Google
  • Key Industries: Artificial intelligence, cloud computing, software, biotechnology, game development
  • Funding Landscape: $3.1 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Madrona, Fuse, Tola, Maveron
  • Research Centers and Universities: University of Washington, Seattle University, Seattle Pacific University, Allen Institute for Brain Science, Bill & Melinda Gates Foundation, Seattle Children’s Research Institute
