Title: Business Operations Manager

Reports to: Chief Operating Officer

Role Type: Full-time

Location: Remote (U.S.)

Company Description

Planned Parenthood Direct (PPDirect) provides the virtual care infrastructure on behalf of Planned Parenthood, delivering trusted sexual and reproductive health care via the PPDirect web/mobile app. Our mission is to enable Planned Parenthood care from anywhere, ensuring accessible care for patients on the go. We partner directly with Planned Parenthood’s regional affiliates, which operate Planned Parenthood’s local health centers, to extend care beyond the clinic walls and to meet patient access needs nationwide.

About the Role

Planned Parenthood Direct is looking for a Business Operations Manager to serve as an operational partner to our team. This role reports to the COO.

This is a role for someone who gets genuine energy from building the system, keeping things moving, and making sure nothing falls through the cracks. You’ll own complex workstreams end-to-end, stepping in to assess what’s needed, creating structure where there isn’t any, and executing with precision. You don’t wait to be told what to do next; you see an opportunity for the team to do better, and you figure it out and get it done.

You won’t just coordinate. You’ll identify gaps, build processes, and lead work across a broad portfolio: compliance, vendor management, data and reporting, cross-functional projects, and recruiting.

What You’ll Do

  • Project & Initiative Management: Lead high-priority cross-functional initiatives from planning through execution, building project plans, managing timelines, anticipating blockers, and driving stakeholders to decisions

  • Data & Reporting: Own internal reporting infrastructure and end-to-end production of decks and reports; surface insights that keep leadership informed and decisions grounded in reliable data

  • Communications: Draft and manage high-quality communications; coordinate content for offsites, leadership summits, and board meetings; serve as a connector across teams

  • Administrative Support: Provide executive administrative support including calendar and inbox management, travel coordination, and meeting preparation

  • Vendor Management: Own relationships, deliverables, and accountability for select external partners; evaluate vendor performance and surface recommendations

  • Recruiting & Onboarding Logistics: Own the logistics of hiring (scheduling, candidate communication, reference calls) and onboarding (checklists, coordination, new hire support) so both processes run smoothly and consistently

  • Compliance & Finance Support: Serve as the operational backbone of the compliance program; track deadlines, flag risks, and drive resolution across state registrations, licenses, and tax filings

Who You Are

  • Mission-driven: you care deeply about making sure people get the health information and care they need, and that shows in how you work

  • A proactive, systems-oriented doer who finds the gaps before they become problems and builds solutions that last

  • Someone who takes genuine ownership: you don’t wait for direction, you follow through on every detail, and you hold yourself to a high bar

  • Comfortable with ambiguity and able to move quickly between different types of work depending on what the moment requires

  • Discreet and trustworthy: you handle sensitive business and personnel information with care, always

Qualifications

  • Experience in business operations, project management, or a closely related role, ideally in a fast-paced startup or growth-stage environment

  • Demonstrated track record of independently owning and delivering complex, cross-functional projects from start to finish

  • Exceptional organizational skills: you keep multiple workstreams on track simultaneously and nothing slips

  • Familiarity with recruiting logistics and HR or people ops tools

  • Comfortable working with financial and operational data to generate clean, reliable outputs

  • Exceptional written and verbal communication skills; you set the bar for clarity, accuracy, and professionalism

  • Advanced proficiency in Microsoft Office and Google Suite

  • Experience in healthcare services, digital health, or a patient-focused organization is a plus

Benefits and Perks

  • Competitive salary

  • Medical, dental, FSA, HSA, and vision insurance

  • Professional development

  • Educational benefits

  • 401K match

  • Parental leave

  • Inclusive team culture

  • Wellness programs

Cover Letter

We’d love to get to know you better. Along with your resume, please submit a cover letter that responds to the following:

  1. Why do you want to work for Planned Parenthood Direct, and why does our mission – “to bring digital-first, Planned Parenthood care and expertise to more people in more places” – matter to you?

  2. Share an example of a project you managed end-to-end. How did you navigate curveballs, and what was your role in getting it across the finish line?

  3. Share three words executives you’ve worked with would use to describe you – and why.

  4. Tell us about a time you did the unglamorous but essential work – and the impact it had on your team or organization.

What you need to know about the Seattle Tech Scene

Home to tech titans like Microsoft and Amazon, Seattle punches far above its weight in innovation. But its surrounding mountains, sprinkled with world-famous hiking trails and climbing routes, make the city a destination for outdoorsy types as well. Established as a logging town before shifting to shipbuilding and logistics, the Emerald City is now known for its contributions to aerospace, software, biotech and cloud computing. And its status as a thriving tech ecosystem is attracting out-of-town companies looking to establish new tech and engineering hubs.

Key Facts About Seattle Tech

  • Number of Tech Workers: 287,000; 13% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Amazon, Microsoft, Meta, Google
  • Key Industries: Artificial intelligence, cloud computing, software, biotechnology, game development
  • Funding Landscape: $3.1 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Madrona, Fuse, Tola, Maveron
  • Research Centers and Universities: University of Washington, Seattle University, Seattle Pacific University, Allen Institute for Brain Science, Bill & Melinda Gates Foundation, Seattle Children’s Research Institute
