Your Mission

As Engine scales, our in-person moments matter more, not less. We're looking for a highly organized, detail-driven Internal Events Coordinator to help us build a world-class in-person experience for a remote-first team, supporting everything from vendor management and registration to the marketing and comms that get people in the room.

You'll be the engine behind our internal events, the person who turns a plan into a flawless, memorable experience. Partnering closely with our Employee Experience and Events lead, you'll own the details, vendors, registration, and communications that make every offsite, summit, and town hall come together seamlessly.

The Role
  • Event Logistics & Vendor Management: Support planning and execution for Engine's off sites, annual org summits, and quarterly in-person town halls. Coordinate and manage vendors  [ie: venues, catering, travel, AV, and swag] to bring every event to life.
  • Registration & Attendee Experience: Own registration, RSVPs, and check-in for internal events, making sure every attendee has a smooth experience from invite to arrival.
  • Event Marketing & Communications: Partner with internal comms to build and send event invites, reminders, and recaps that drive excitement and turnout across a distributed workforce.
  • Playbook & Process Support: Help build and refine repeatable playbooks for Engine's in-person programs, capturing what works so every event gets sharper than the last. 
  • Automation & Product Impact: Continuously look for opportunities to automate workflows, improve processes, and provide actionable feedback to our Product teams, leveraging our unique position as power users of our own platform to shape a better experience for both internal teams and customers.
  • On-the-Ground Execution: Travel on-site as needed (2-3 times per quarter) to support setup, run-of-show, and real-time problem-solving so events run without a hitch.
  • Company Swag: Own the execution for internal swag programs (new hires, milestones, and special events), managing our online swag store vendor to ensure high-quality fulfillment, seamless logistics, and memorable team celebrations.

  • Calm Under Pressure: Event-day chaos doesn't rattle you, you adapt in real time and keep things moving.
  • Collaborative Partner: You build trust fast with vendors, DRIs, and teammates across the company.
Qualifications
  • 1–3+ years of experience in event coordination, hospitality, administrative support, or related field
  • Experience managing vendors, venues, and event budgets
  • Strong written communication skills; comfortable owning comms tied to events
  • Proficiency with event registration/RSVP tools and project management tools
  • Hands-on experience managing online swag stores and/or corporate merchandise programs
  • Highly organized with excellent attention to detail and an eye for design
  • Willingness to travel to support on-site events, as needed

Compensation
Our compensation packages are based on several factors, including your experience, expertise, and location. In addition to a competitive base salary, all roles receive equity. Depending on the role, total compensation may also include an annual bonus. Your recruiter will share your complete compensation package as you move through the process.

Base Pay Range
$73,000$101,000 USD
