The opportunity - Events Coordinator - (Remote – USA)

Wrapbook is seeking an Events Coordinator to help create engaging experiences that connect prospects, clients, and partners with our platform. This role will focus on in-person events—including happy hours, VIP experiences, and conferences—that generate leads, build relationships, and strengthen client loyalty.

As part of the Marketing team and reporting to the Manager of Events & Partnerships, you’ll collaborate closely with Sales, Client Operations, and other internal stakeholders to bring events to life. You’ll be the go-to person for coordinating logistics, managing communications, and ensuring every detail runs smoothly.

This is an exciting opportunity for someone who is highly organized, thrives in a fast-paced environment, and is passionate about creating memorable experiences that drive measurable impact. Preference is for candidates based in Los Angeles, CA, where most in-person events take place.

What You’ll Do:

In-Person Events

  • Coordinate logistics for in-person events, including catering, A/V, facilities, swag, and print materials.

  • Source and manage vendors to support event production.

  • Attend and support events on-site to ensure seamless execution and resolve issues in real time.

Event Communications & Stakeholder Coordination

  • Draft and deploy invitations, confirmations, reminders, and post-event follow-ups across email, landing pages, and other channels.

  • Schedule and manage prep calls with speakers and partners.

  • Oversee ongoing communications to ensure stakeholders remain aligned and prepared.

Reporting & Analysis

  • Track and report on event performance, including registration, attendance, attendee feedback, and budget reconciliation.

  • Provide recommendations to optimize future events and improve ROI.

What You’ll Have:
  • 2+ years of experience coordinating events, ideally within SaaS

  • Demonstrated ability to manage multiple in-person events at different stages of the cycle (pre-production, live execution, and post-event wrap-up), with the capacity to independently lead 3-4 per quarter.

  • Strong organizational and time-management skills with exceptional attention to detail.

  • Familiarity with event tools and platforms such as Swoogo (or similar registration platforms), and Asana.

  • Self-motivated, proactive, and comfortable working independently in a remote environment

  • Willingness to travel up to 1–2 times per quarter for on-site event support.
