The Role

Own the operating system behind the CEO. As Executive Assistant & Office Manager, you’ll provide executive support to the CEO while ensuring Humanly’s office runs as a high-functioning, organized, and energizing environment for the entire team. This role blends strategic EA support with hands-on office operations — enabling the CEO and leadership team to operate at their best while building a strong in-office culture.

What You’ll OwnCEO Leverage
  • Own and optimize the CEO’s calendar, ensuring time is consistently spent on highest-impact priorities

  • Proactively manage scheduling, conflicts, and prioritization

  • Prepare the CEO for meetings with briefs, context, and follow-ups

  • Track action items and ensure follow-through

  • Manage inbound communications and act as gatekeeper when needed

  • Coordinate travel, logistics, and key events

  • Support preparation for board meetings, leadership meetings, and external engagements

Execution & Coordination
  • Track and follow up on key initiatives and action items across the leadership team

  • Ensure meetings result in clear next steps and accountability

  • Help drive operational cadence (weekly leadership meetings, all-hands, etc.)

  • Assist in lightweight project management across teams

  • Reduce operational friction for the CEO and leadership team

Information Hub
  • Ensure smooth communication between the CEO and internal/external stakeholders

  • Organize and maintain key documents, notes, and internal resources

  • Capture and synthesize notes from key meetings

  • Help maintain visibility into priorities, deadlines, and commitments

  • Ensure nothing falls through the cracks

Office Management & Operations
  • Own day-to-day office operations (supplies, vendors, facilities, etc.)

  • Ensure the office is organized, functional, and a great place to work

  • Manage office budget and vendor relationships

  • Coordinate in-office logistics (meals, events, onboarding setup)

  • Support the hybrid/in-office experience for employees

  • Handle ad hoc operational needs quickly and effectively

Culture & Team Experience
  • Help create a positive, welcoming office environment

  • Support team events, offsites, and company gatherings

  • Assist with the onboarding experience for new hires

  • Be a connector across teams and help maintain strong internal relationships

  • Reinforce company culture through day-to-day interactions

What You’ll Bring
  • 3+ years of executive assistant or chief of staff experience, ideally supporting a C-suite executive at a fast-paced startup

  • Mastery of calendar management, travel coordination, and executive communications — you can run a complex CEO schedule without losing a beat

  • Strong organizational and project coordination skills — you track what’s moving, what’s stalled, and who needs a nudge

  • High attention to detail and operational rigor — things don’t slip through on your watch

  • Excellent written and verbal communication — you can synthesize a board meeting into three clear bullets or draft an email the CEO would send as-is

  • Experience owning office operations — vendors, budgets, facilities, and the details that make a workplace great

  • Builder mindset — you see gaps and close them, without waiting to be asked

  • High discretion and judgment — you’re in the room (and the inbox) for things that matter, and you treat it that way
