What you'll be doing.
Executive & Strategic Support
- Manage the CHRO's complex and dynamic calendar, ensuring alignment to key business and leadership priorities.
- Support calendar needs for 2 (two) Global HR Leadership team members.
- Anticipate needs, proactively identify scheduling conflicts, and optimize executive time and focus.
- Manage communications, correspondence, and information flow on behalf of the CHRO, exercising discretion and business judgment.
- Coordinate complex domestic and international travel, including detailed itineraries and meeting preparation, and expense management.
- Prepare, edit, and enhance executive presentations, briefing materials, meeting minutes, reports, and communications.
Board & Executive Leadership Support
- Coordinate the development and preparation of materials for the Board of Directors and Board Committees, including Compensation, Talent, and Governance Committees.
- Manage timelines, inputs, reviews, and approvals associated with Board presentations and executive-level reporting.
- Ensure sensitive information related to executive compensation, organizational design, succession planning, and talent discussions is handled with the highest level of confidentiality.
- Prepare briefing documents and executive summaries to support key meetings and decision-making.
Human Resources Leadership Team Coordination
- Serve as a key liaison for the Human Resources Leadership Team, coordinating leadership meetings, annual planning activities, and enterprise initiatives.
- Track key actions, priorities, and deliverables to support execution across the Human Resources function.
- Coordinate leadership off-sites, town halls, employee events, and other strategic meetings.
- Maintain organizational charts, leadership team materials, and departmental resources.
Operational Excellence
- Manage executive expenses, departmental invoices, and budget-related administration.
- Support onboarding activities for Human Resources leaders and team members.
- Maintain SharePoint sites and document repositories.
- Provide support on special projects and enterprise initiatives as required.
- Act as a trusted resource and back-up within the broader Executive Assistant team.
What you'll need to be successful.
- 7+ years of experience supporting C-suite executives in a fast-paced, highly professional environment.
- Experience supporting senior executives within banking, consulting, professional services, financial services, private equity, or large global organizations is strongly preferred.
- Demonstrated experience preparing materials for Boards of Directors, Board Committees, Executive Committees, or senior leadership forums.
- Exceptional proficiency in Microsoft Office, particularly PowerPoint, Outlook, Excel, Teams, and Word.
- Experience with Concur and enterprise business systems.
- Outstanding organizational, prioritization, and project management skills.
- Strong business acumen with the ability to anticipate needs and operate independently.
- Proven ability to manage highly sensitive and confidential information with discretion.
- Exceptional written, verbal, and interpersonal communication skills.
- Executive presence and confidence interacting with senior leaders, Board members, and external stakeholders.
- Ability to thrive under pressure while managing multiple priorities and tight deadlines.
