The Role:

We are seeking a highly organised and proactive Executive Assistant to provide EA support to our key members of our Executive team. This pivotal role involves managing complex calendars, coordinating meetings, handling confidential information, and facilitating communication across various departments. The ideal candidate will be adept at multitasking, possess exceptional communication skills, and demonstrate a high level of professionalism.

In this role you will:

  • Manage and coordinate the complex calendars of the CEO and an additional Executive, scheduling meetings, appointments, and events, while anticipating and resolving scheduling conflicts.
  • Organise and coordinate executive meetings
  • Act as a primary point of contact for any diary coordinator between the executives and internal/external stakeholders, ensuring timely and effective communication.
  • Plan and coordinate detailed travel itineraries, accommodations, and logistics for the CEO and COO.
  • Manage sensitive information with the utmost discretion and confidentiality.
  • Prepare and edit correspondence, reports, presentations, and other documents as required.
  • Oversee office operations and administrative support needed for the NY Office

What we look for in you: 

  • Minimum of 5 years of experience as an Executive Assistant or in a similar role supporting C-level executives.
  • Exceptional organisational and time-management skills, with the ability to prioritise tasks effectively.
  • Strong written and verbal communication skills.
  • Proficiency in Google Suite and familiarity with other relevant software and tools (ex: Notion).
  • High level of discretion and professionalism in handling confidential information.
  • Ability to work independently and collaboratively in a fast-paced, dynamic environment.
