Role Summary
The Senior Executive Assistant is a high-impact role serving as the primary strategic partner to the COO. This position combines executive-level support with broad operational oversight — spanning IT infrastructure, marketing operations, and financial administration. As a "force multiplier," you will identify operational gaps, manage complex projects, and ensure the COO is positioned to lead effectively. No task is too small, no project too big or complex.
Key Responsibilities
Executive Strategy & Communications
- Provide comprehensive COO support through proactive calendar orchestration, time management, and high-level inbox management, including triaging and responding to correspondence on behalf of the executive.
- Draft sophisticated communications for senior executives and manage critical outreach to high-value clients across the semiconductor ecosystem.
- Conduct deep-dive research and prepare briefing materials for client meetings, conferences, and business development opportunities.
- Own end-to-end coordination of complex travel logistics across multiple time zones — often with shifting itineraries, time-sensitive bookings, and last-minute changes.
- Act as a sounding board for leadership, providing recommendations, solutions, and feedback to optimize operations and executive productivity.
- Build and maintain trust-based relationships with the internal team and top-tier clients, serving as a professional point of contact on behalf of leadership.
IT & Infrastructure
- Oversee the organization's IT ecosystem, including vendor management, procurement, software licensing, and IT service provider relationships.
- Serve as an internal expert for Microsoft 365 and Teams while managing data and workflows within CRM platforms (Microsoft Dynamics).
Financial & Marketing Operations
- Manage procurement workflows, accounts payable, and operational budget tracking. Ensure rigorous expense tracking and financial record-keeping via Concur.
- Drive marketing operations including LinkedIn outreach strategies, digital presence, and coordination with remote contractors. Lead or support brand refresh initiatives to ensure consistency across all external-facing materials.
Recruiting Support
- Support the recruiting process through LinkedIn and candidate generation tools, coordinating pipelines, scheduling, and onboarding documentation in partnership with leadership.
Candidate Profile
Required Qualifications
- Minimum of 8+ years of progressively increasing responsibility supporting C-Suite leadership and leading strategic operations initiatives (Executive Business Partner, Executive Assistant, Executive Operations Manager).
- Proven success providing executive support while managing multi-stream operations projects in a startup, family office, boutique firm, or nonprofit environment where adaptability, resourcefulness, and comfort with ambiguity and an intense pace are essential.
- Track record of crafting high-level correspondence on behalf of C-Suite executives, with the ability to adapt tone and messaging for diverse audiences and high-value stakeholders.
- Expert-level: Microsoft 365, Microsoft Teams, Concur, Microsoft Dynamics (or similar CRM systems i.e. Salesforce) and IT procurement processes.
- Reside in the Greater Seattle area
- BS/BA Degree
