Job Description

The Manager, Finance Ops & Accounting owns Galileo’s core finance and accounting engine: closing the books accurately and on time, managing cash flow, providing regional leaders with the P&L insight they need to run great programs, and keeping the organization audit-ready and compliant across every jurisdiction we operate in.

Galileo Learning has been offering educational summer experiences for 25 years: STEAM-based, hands-on camp and expanded learning programs that build creative confidence, growth mindset, and innovation skills for kids from kindergarten through eighth grade. Behind every joyful camp day is a finance and accounting function that has to run flawlessly — and this role owns it.

This is a hands-on, high-ownership role for someone equally comfortable booking a complex journal entry, building a cash-flow forecast, managing accounting systems, and walking a regional director through their budget. You’ll partner across the company and report on key financials to the board.

By maintaining accurate financials, clear cash visibility, and strong compliance across all jurisdictions, the Manager, Finance Ops & Accounting ensures that program and operational leaders can focus on what they do best - delivering extraordinary experiences for kids.

This role also drives continuous improvement: identifying system and process enhancements, building reporting that turns data into decisions, and serving as a trusted financial partner across the organization.

You will be Accountable For

 

Owning the Month-End Close & Financial Reporting

  • Lead the month-end close process end-to-end, ensuring an accurate, complete, and timely close every period

  • Prepare and post journal entries, including payroll JEs and revenue entries, and maintain well-documented support and reconciliations

  • Produce regional P&Ls and partner with regional and functional leaders to explain results, variances, and trends

  • Deliver monthly close reporting to the board, ensuring packages are accurate, on time, and clearly presented

  • Manage debt reporting and related compliance/covenant tracking

 

Managing Cash, Treasury & Payments

  • Build and maintain the weekly cash-flow forecast to give leadership clear visibility into liquidity and upcoming needs

  • Oversee facility payments and other recurring obligations, ensuring they are paid accurately and on schedule

  • Manage check cashing and deposits, keeping cash handling controlled and well-documented

 

Running Accounts Payable & Expense Management

  • Administer Bill.com for accounts payable — managing vendor records, approvals, and timely payment runs

  • Manage Expensify for employee expense reporting, reimbursements, and policy compliance

  • Oversee GX invoicing and ensure billing is accurate, complete, and reconciled

  • Maintain CBC access and controls across banking and payment platforms

 

Driving Budgeting, Planning & Analysis

  • Lead budget meetings with regional and functional leaders, building budgets and tracking performance against them throughout the year

  • Own the labor planner, modeling staffing costs, and partnering with operations to align labor spend with planned

  • Build and maintain reporting in Power BI (PBI), delivering dashboards and updates that turn data into decisions

 

Keeping Us Compliant & Audit-Ready

  • Manage business licenses across all jurisdictions, keeping registrations current and in good standing

  • Coordinate tax filings and partner with external preparers and advisors as needed

  • Handle Certificate of Insurance (COI) requests and related documentation

  • Provide audit support, preparing schedules, reconciliations, and documentation, and serving as a key point of contact for auditors

  • Own Camp support case management, tracking, and resolving cases accurately and on time

 

Administering Our Financial Systems

  • Serve as Sage administrator, managing system configuration, users, and data integrity across our accounting platform

  • Identify and implement process and system improvements that increase accuracy, efficiency, and control as the organization grows

Qualifications

  • Bachelor’s degree in Accounting, Finance, or a related field

  • 7+ years of progressive accounting and finance experience, including ownership of the month-end close and financial reporting

  • Strong technical accounting knowledge and a solid grasp of GAAP

  • Hands-on experience with accounting/ERP systems and AP/expense tools such as Bill.com and Expensify

  • Advanced Excel/Google Sheets experience

  • Experience with cash-flow forecasting, budgeting, and partnering with non-finance leaders on their numbers

  • Familiarity with multi-entity or multi-jurisdiction compliance: business licenses, tax filings, insurance/COIs, and audit support

  • Exceptional attention to detail, strong organizational skills, and the ability to manage many concurrent deadlines

  • Clear, confident communication and a collaborative, service-oriented mindset

  • Comfort working independently in a remote environment and a genuine connection to Galileo’s mission

Work Location

[HQ Remote] This role is primarily remote, work-from-home, with preference given to the following states: California, Colorado, Illinois, Massachusetts, Arizona, Nevada, Texas, North Carolina, New York, and Washington

[HQ GX] HQ staff may be expected to visit camp locations or clients to experience Camp Galileo and Galileo X Solutions first-hand. Occasionally, onsite events or meetings may also be required. 5 - 10% travel may be required, depending on location.

Schedule & Time Commitment

This is a full-time position, averaging 40 hours per week. While we prioritize work-life balance, there may be times when additional hours are necessary to meet deadlines and ensure the success of our programs. 

Compensation

We anticipate total compensation for this Full-Time, exempt position to be approximately $95,000 - $110,000 annually. Exact compensation may vary and will be based on multiple factors, including geography and professional experience.
