Job Summary
Under the direction of the Senior Billing Analyst, the Analyst I is responsible for supporting end-to-end billing activities for designated industry groups within Wipfli's centralized billing organization. This role ensures billing is accurate, timely, and compliant with firm policies by preparing and reviewing invoices, resolving discrepancies, and partnering closely with Relationship Executives and internal teams. The Analyst I plays a key role in maintaining billing quality by managing workflows, applying consistent billing practices, and contributing to efficient and scalable billing operations.
Essential Responsibilities:
  • Develops a specialized billing knowledge and software proficiency in specific Industry groups and/or service lines, while maintaining a positive, collaborative work environment.
  • Analyze work in process (WIP), engagement letters and any out of scope (OOS) and generate invoices for clients based on services provided. Reviews final invoices with Relationship Executives before distributing to clients. These assigned RE's will have a more complex client list.
  • Assists with producing credit notes and adjustments in billing software and following up on collection activity when directed.
  • Assist clients via email or via phone calls relating to collections and helping client set up online payment portal to expedite payment.
  • Assists Job Billers and Client Relationship Executives with billing questions or software or invoice issues.
  • Produces high quality work in compliance with work processing guidelines and firm standards including proofreading and report compilations.
  • Maintains accurate and up-to-date records of invoices, payments, adjustments, and other billing-related activities.
  • Collaborates with other departments and clients to resolve issues, adhere to timelines, and provide outstanding customer service.
  • Assists with Identifying opportunities for streamlining billing processes, reducing errors, and improving efficiency.
  • Generates regular reports related to billing activities, such as aging reports, revenue analysis, or billing summaries.
  • Maintains and updates billing systems and data stream updating client information.
  • Assists other team members with overflow work.

Required Qualifications:
  • High School Diploma or equivalent combination of education and experience
  • 1+ years of progressive administrative work experience in the areas of accounts receivable or accounts payable.
  • Demonstrated experience owning or supporting end-to-end billing processes, including invoice preparation, review, and issue resolution
  • Advanced Microsoft Excel skills, including pivot tables, formulas, and ability to work with large data sets
  • Strong attention to detail and accuracy, with the ability to review, proof, and validate financial data

Preferred Qualifications:
  • Experience working in a CPA firm or other professional services environment
  • Experience with billing and collections processes in a complex or high-volume environment
  • Associate's degree in accounting, finance, business, or a related field
  • Experience working in Workday or a comparable ERP/billing system

  • Strong analytical and problem-solving skills, with the ability to identify discrepancies and recommend solutions
  • High level of attention to detail and commitment to accuracy
  • Ability to manage competing priorities and meet deadlines, especially during peak billing cycles
  • Sound judgment and decision-making skills, including knowing when to escalate issues
  • Ability to maintain confidentiality and handle sensitive financial information with integrity
  • Strong collaboration skills and ability to work effectively with cross-functional teams
  • Proactive, curious, and confident mindset with willingness to ask questions and challenge inconsistencies
  • Clear, concise verbal and written communication skills, with the ability to interact with senior leaders and occasionally clients
  • Ability to learn new systems and tools quickly and support others in their use
  • Flexibility in schedule to support peak billing periods and business needs
  • Proficient in Microsoft Word and Outlook

Wipfli values fair, transparent, and competitive compensation, considering each candidate's unique skills and experiences. The estimated base pay range for this role is $21.00 to $28.00 with offers typically not made at the maximum, allowing for future salary increases. The actual salary at the time of offer depends on business related factors like location, skills, experience, training/education, licensure, certifications, business needs, current associate pay, and relevant employment laws.
Individuals may be eligible for an annual discretionary bonus, subject to participation rules and based on a variety of factors including, but not limited to, individual and Firm performance.
