The Marketing Operations & Communications Manager plays a key role in advancing HealthierHere’s mission by co-developing and implementing strategic communications and marketing initiatives that elevate the organization’s brand and impact, drive engagement across programs and partnerships, and inspire support for the organization. Reporting to the Director of Marketing and Communications, this position leads day-to-day communications and marketing operations, supervises a team of three creative and communications staff, manages vendors and projects, and ensures the production and distribution of high-quality, accessible digital, print, and multi-media content that reflects HealthierHere’s values and commitment to health equity. 

During a critical growth period, the Marketing Operations & Communications Manager will build and deliver integrated marketing activities that ensure clear and consistent messaging and communications across all channels and that support the goals and sustainability of HealthierHere’s core programs, including Connect2 Technology and the HealthierHere Community Hub, as well as emerging programs and services that expand HealthierHere’s reach and long-term impact. 

The ideal candidate is a systems-minded marketing leader and skilled project manager who thrives in a collaborative, fast-paced environment. A strategic marketer and experienced people leader, they pair strong operational discipline with a sharp eye for compelling content. They bring creativity, curiosity, and a solutions-oriented mindset, staying attuned to emerging trends, technologies, and AI tools that can strengthen how we work. With proven experience leading complex communications and marketing campaigns, managing budgets and vendors, and using data to guide decisions, along with a deep commitment to equity and community health, the Marketing Operations & Communications Manager will elevate HealthierHere’s voice, engage audiences, and drive organizational impact. 

Key Responsibilities

Team, Project & Vendor Management  

  • Lead day-to-day communications operations and project management to ensure timely, high-quality, and on-budget execution of core activities 
  • Supervise, coach, and support the professional growth of the Graphic Designer, Multimedia Storyteller, and Communications Specialist, including setting priorities, balancing workloads, and conducting regular check-ins and performance reviews 
  • Manage relationships, scopes of work, and contracts with vendors and consultants, including graphic designers, photographers, videographers, content creators, web design agencies, translators, and more 
  • Develop and manage project and campaign budgets, track expenses against approved budgets, and coordinate with Finance on contracts, purchase approvals, and invoicing 
  • Build, implement, and maintain standardized content creation processes and project tracking systems (e.g., intake forms, timelines, task boards, and status reports) to ensure consistency, accountability, and efficiency across all communications activities 

 Strategic Communications and Marketing 

  • Co-develop and implement integrated communications and marketing strategies, driving timelines, tactics, and cross-functional coordination to ensure on-time, on-budget delivery  
  • Monitor, analyze, and regularly report Key Performance Indicators (KPIs) using HubSpot, web analytics, and social media analytics to optimize strategies and inform quality improvement and future initiatives 
  • Manage HubSpot marketing operations, including email campaigns, landing pages, forms, workflows, lists, and campaign reporting dashboards 
  • Identify, test, and implement AI tools and emerging technologies that improve content production, workflows, and reporting.
  • Implement thought leadership and speaking engagement strategy (applications, coordination, and content development) 

 Editorial Planning and Content Production  

  • Develop and manage the organizational editorial calendar, tracking all campaigns, events, and deliverables that require design, copywriting, and photo or video support 
  • Manage intake, prioritization, and assignment of creative requests across the Graphic Designer, Multimedia Storyteller, and Communications Specialist to ensure deliverables are on time, on brand, and on budget 
  • Oversee video and photography production management, from planning, scheduling, and shot lists through on-site coordination, review, and final delivery, in partnership with internal staff and external videographers and photographers 
  • Coordinate content publishing and distribution across channels (website, email, social media, and HubSpot) in support of content marketing goals 
  • Review and edit content for quality, accuracy, accessibility, and brand consistency before publication 

 Communications Support 

  • Support internal communications initiatives, ensuring consistent information flow across teams 
  • Support development of communications materials, messaging, and collateral for use by staff  
  • Provide communications support for virtual and in-person events (i.e. webinars and convenings) 
  • Support partner communications capacity building and co-creation efforts 

Qualifications
  • Bachelor’s degree or equivalent education and 4+ years of progressive experience developing and executing communications and marketing plans; or 6+ years of relevant progressive experience in lieu of a degree.
  • 2-3 years of management experience, including directly supervising staff. 
  • Deep and demonstrated personal commitment to advancing equity and social justice, and strong alignment with HealthierHere’s organizational values; demonstrated ability to engage individuals respectfully and effectively from different cultures and backgrounds 
  • Proven editorial and content strategy expertise with a portfolio demonstrating successful brand management and campaign execution 
  • Experience managing vendor relationships, scopes of work, and contracts for graphic designers, photographers, videographers, content creators, web agencies, and/or marketing specialists 
  • Experience developing and managing project or campaign budgets, tracking expenses, and delivering work on budget 
  • Strong project management skills, with experience building and maintaining project tracking systems and coordinating complex, multi-stakeholder initiatives in deadline-driven environments 

Technical Proficiency 

  • Strong proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, and SharePoint)  
  • Hands-on experience with HubSpot, including email marketing, landing pages, forms, workflows, lists, and reporting 
  • Experience with content management systems (eg., Webflow), marketing automation platforms, and digital analytics tools (e.g., Google Analytics and social media analytics), with the ability to analyze data and turn insights into clear recommendations 
  • Experience with project management tools (e.g., Asana) 
  • Technically savvy, with demonstrated experience using AI tools for tasks such as drafting, editing, research, and workflow automation, and a curiosity for adopting emerging technologies responsibly

  • Excellent verbal, written, and interpersonal communication skills; adept at building and fostering positive working relationships with colleagues, partners, and vendors 
  • Strong soft skills, including emotional intelligence, active listening, adaptability, sound judgment, and the ability to give and receive constructive feedback 
  • Highly organized and detail-oriented, with the ability to manage multiple priorities and deadlines at once 
  • Strong understanding of digital and new marketing communications landscape and leading-edge trends, and proactive in learning emerging promising practices, tools, and technologies 
  • Strong writing and editing skills, with a sharp eye for quality, accuracy, and brand consistency 
  • Ability to operate effectively and collaboratively in a fast-paced, changing environment  

Preferred Qualifications

  • Experience working across both mission-driven and technology settings, such as nonprofit organizations and for-profit technology or tech-adjacent companies, with a proven ability to thrive in fast-paced, evolving environments 
  • Experience managing video production or photography production, including coordinating on-camera talent, designers, videographers, and photographers across pre-production, shoots, and post-production 
  • Experience with product marketing initiatives and working with technology teams
  • HubSpot certifications (e.g., Marketing Hub Software, Email Marketing, or Inbound Marketing) or experience with HubSpot Marketing Hub Enterprise
