Position Overview

We are looking for a highly organized, detail-oriented Marketing Operations & Executive Coordinator to support our Director of Retained Support & Retention Marketing. This role is equal parts executive coordination, client communication, and hands-on marketing execution.

This person will be a true extension of the Director—helping manage movement across retained accounts, ensuring clear communication, and executing core marketing deliverables such as email marketing, social posting, and blog content. The ideal candidate is an excellent communicator, enjoys executing marketing work (not just planning it), and wants to grow deeper into retention and lifecycle marketing.

Key Responsibilities Executive & Retainer Coordination

  •  Support the Director in managing retained client accounts and ongoing initiatives.

  • Track movement across retainers (new requests, changes in scope, priorities,

    deadlines).

  • Review recorded calls and call summaries in Attio to identify action items and follow-ups.

  •  Create and track follow-up tasks to ensure commitments are completed on time.

  • Handle a high volume of written communication with clients—clear, professional, and

    confident English is essential.

  •  Attend select internal or client calls when needed.

    Marketing Execution (Primary Focus)

  • Email Marketing (Klaviyo):

    • Build and execute email campaigns and newsletters.

    • Assist with or own basic lifecycle flows (welcome, post-purchase, etc.).

    • Schedule, QA, and deploy emails accurately and on time.

  • Content & Channel Execution:

    • Publish blog posts (formatting, uploading, basic SEO hygiene).

    • Post content across social channels based on provided strategy or direction.

    •  Ensure consistency and timeliness across all marketing channels.

Marketing Operations & Internal Coordination

  • Own and maintain the internal marketing calendar (email, content, social).

  • Coordinate with internal contributors and independent contractors (ICs) to ensure assets

    are delivered on time.

  • Track dependencies, flag risks, and follow up proactively.
  • Create lightweight systems and documentation to keep marketing execution organized

    and repeatable.

    Learning & Growth

  • Develop a strong understanding of retention marketing and lifecycle strategy.

  • Learn how marketing supports long-term growth within retained client relationships.

  •  Gradually take on more ownership across marketing execution and operations.

    Qualifications Required


  •   Excellent written and verbal English (international school background strongly preferred).

  •   Strong organizational, follow-through, and prioritization skills.

  •   Experience executing or supporting marketing work (email, content, social, or similar).

  •   Comfort working across multiple clients and parallel workstreams.

  •   Ability to turn call notes and conversations into clear, actionable next steps.

    Preferred

  • Experience with Klaviyo or another email marketing platform.

  • Familiarity with CMS tools and social platforms.

  • Agency or retained-services experience.

  • Interest in retention, lifecycle marketing, and long-term client growth.
